Pay Range: $60,000 - $80,000

The team aims to act as a trusted long-term financial partner, helping clients navigate financial complexity with integrity, persistence, and thoughtful service.


Position Overview - Iterhic Wealth Advisors is seeking an experienced Client Service Associate to provide high-touch client service, advisor support, and operational coordination for a growing wealth management team. This role is designed for someone who enjoys being the person responsible for keeping clients, advisors, workflows, documentation, and follow-up organized, accurate, and moving forward.


The ideal candidate will bring prior CSA, Client Associate, Client Service Associate, Client Experience, or comparable wealth management experience and will naturally embrace a proactive, hands-on service philosophy. This person should enjoy getting into the details, maintaining clean CRM documentation, independently executing established processes, and creating a seamless client experience by helping clients navigate service needs from start to finish.


Your Role & Responsibilities

You will provide high-touch client service, advisor support, and operational coordination for a wealth management practice, including but not limited to:

Client Service & Relationship Support

Serve as a professional, responsive point of contact for routine and recurring client service needs

Provide proactive, high-touch support throughout client requests, including helping clients navigate forms, authorizations, outside institutions, and follow-up steps

Schedule and coordinate client meetings, annual-review outreach, and recurring client follow-up

Manage and monitor team/client email communications to help ensure timely and accurate follow-through

Conduct post-meeting follow-up and help keep client requests, tasks, and next steps organized


Account Maintenance & Operational Coordination

Coordinate client onboarding, account opening, account maintenance, transition paperwork, DocuSign processes, and signee follow-up

Prepare, review, and submit client forms, custodial paperwork, and service-related documentation for completeness and accuracy

Track pending items, outstanding documents, client requests, custodial requests, and operational follow-up across workflows

Maintain accurate client records, files, CRM notes, task updates, meeting documentation, and workflows within Wealthbox and firm systems

Follow firm policies, compliance expectations, and documentation standards when handling client information and account activity

Help keep client records, service processes, and reporting clean, organized, and well documented


Advisor & Practice Support

Partner with advisors, operations team members, and client service team members to support client meetings, service requests, and day-to-day practice needs

Prepare client meeting materials, agendas, reports, forms, account documents, and follow-up items as needed

Update client information in CRM, custodial platforms, document management systems, ticketing tools, and internal tracking resources

Assist with advisor calendar management, scheduling, inbox organization, task tracking, meeting follow-through, and documentation collection

Assist in the compliance approval process for marketing materials and firm-hosted events

Participate in special projects, team initiatives, process improvements, and other administrative or operations tasks as assigned

Requirements

 What We're Looking For

Required Qualifications

Prior CSA, Client Associate, Client Service Associate, Client Experience, or comparable wealth management/client service experience strongly preferred

Strong customer-service mindset with genuine satisfaction in creating a high-touch client experience

Self-directed, proactive, and able to independently execute established processes without frequent prompting

Highly organized and detail-oriented, with strong follow-through and comfort getting into the weeds

Strong written and verbal communication skills with a professional, friendly, and client-focused demeanor

Ability to prioritize tasks, manage time effectively, and balance multiple client service requests, follow-up items, and deadlines

Comfortable maintaining detailed CRM documentation, tasks, notes, client records, and workflows

Proficiency with Microsoft Office, DocuSign, shared calendars, digital files, CRM updates, and general office technology


Preferred Qualifications

Prior experience with Charles Schwab, Schwab Advisor Center, and related custodial workflows/processes

Familiarity with Wealthbox or another wealth management CRM system

Prior experience in a wirehouse, bank wealth management platform, RIA, or similar wealth management environment

Industry and compliance knowledge preferred

Existing securities licenses are welcome but are not required for the position

Degree preferred but not required; no college degree is required for consideration
