Job description

Position Summary

This Position provides administrative and clerical support in the Infrastructure Division (data, fiber optic cabling and utility construction/installation). The Administrative Assistant deals directly with a diverse group of important external contacts, visitors, and internal contacts at all levels of the organization. Independent judgement and professionalism is required to plan, prioritize and organize a diversified workload.

Key Responsibilities

  • Call appropriate state locating organization according to state laws for utility locating in appropriate area.

  • Able to read prints and follow permitting requirements.

  • Keep organized log of locates for multiple jobs and uses mapping tool; responsible for coordinating and for tracking multiple projects. 

  • Utilize the provided mapping tool and other location information

  • Indicate telecommunications locations through the utilization of paint, flags.

  • Communicates other relevant information to excavation personnel or appropriate authorities about other underground utilities in work area.

  • Documents all locates performed and maintains accurate records.

  • Uses computer utility maps with specialized equipment to find underground cables, pipes and other underground utilities to prevent damages and ensure safety within the excavation, landscaping and construction community.

  • Perform administrative and clerical accounting tasks.

  • Maintain data for making transfers of personnel.

  • Filing project documents, creating and maintaining project schedules.

  • Arranging travel and scheduling meetings, meeting minutes.

  • Process RFI (Request for Information) from contractor and submits to PM.

  • Submits timecards, expenses, and other administrative tasks.

  • Answer phone and returns phone calls.

  • Employee customer service. 

  • Collaborate with management concerning current manpower regarding who is available and what resources are available.

  • Performs other related duties as assigned to ensure efficient and effective processes, completion of projects and smooth operation of department.

Qualifications

  • High school diploma required with 3 years related industry and administrative experience.

  • Understanding and proficiency with Microsoft Office Products, with excellent Excel skills

  • Previous experience and understanding of commercial construction and utility construction industry.

Skills & Abilities

  • Detail oriented and strong organizational skills required.

  • Drives vehicle to job sites in response to routine ticket requests, emergencies, and relocates.

  • Valid drivers license.

  • Good verbal communication.

  • Reliable and dependable attendance. 

  • Excellent problem-solving skills and capacity to identify and resolve problems in a timely manner.

  • Ability to maintain a high degree of confidentiality and exercise discretion and appropriate judgment in handling sensitive material.

  • High attention to detail, accuracy, and thoroughness.

Work Environment & Physical Demands

This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

  • Requires mobility within an office environment. 
  • Regularly required to talk and hear. Effectively communicate with others both written and orally, including using the telephone. 
  • Prolonged periods sitting at a desk and working on a computer. 
  • The employee may be required to walk; reach with hands and arms; and bend. 
  • May be required to stoop, kneel, and crouch.   Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.  
  • Possess good hearing, normal or corrected. 
  • The employee must be able to regularly lift and/or move up to 50 pounds. 
  • The employee may be required to climb stairs. 
  • Must be able to work 8 hours a day, 40 hours per week, and overtime as required and night or weekend shifts, as needed.
