Bayshore is seeking an organized and adaptable Administrative Assistant to provide essential support to our team. Reporting to the immediate Supervisor, you will handle a wide range of administrative tasks, coordinate internal and external communications, and ensure smooth daytoday office operations. Key Responsibilities
Administrative Support

  • Draft, edit, and prepare correspondence, letters, and documents
  • Create and compile reports and various materials as requested
  • Transcribe and distribute meeting minutes

Communication & Coordination

  • Screen, handle, and redirect incoming phone calls professionally 
  • Manage incoming and outgoing mail and courier services 
  • Maintain mailing lists and databases 
  • Schedule and coordinate appointments and meetings 
  • Provide support to external business associates and clients while maintaining confidentiality.
  • Maintain confidential business files and ensure secure handling of sensitive information.

General Office Support

  • Provide coverage for other Administrative roles as needed 
  • Participate in internal and external training or continuing education activities 
  • Support quality improvement initiatives in alignment with Bayshore's Quality Management System 
  • Adhere to all Bayshore policies, procedures, and proactive Health & Safety practices 
  • Perform additional tasks as assigned.

Education

  • Secondary School Diploma; 

  • Completion of an Administrative Assistant training program is preferred.


Experience: A minimum of two years previous experience as an Administrative Assistant.
Other Skills and Abilities

  • Exceptional customer relations and teamwork skills; 

  • Proficiency in Windows applications, database management, e-mail and the internet; 

  • Administrative or executive level writing skills; excellent communication skills using both written and spoken English; French considered an asset

  • Demonstrated ability to establish priorities, handle multiple tasks and work independently and as a team member; 

  • Strong commitment to continual learning
