Job description

Job Title:
Administrative Assistant to the Director of Nutrition
Position Summary:
The Administrative Assistant to the Director of Nutrition assists with the logistics of school nutrition initiatives for Maschio's Food Services, Inc. The Administrative Assistant helps maintain organization within the nutrition department though professional and clear communication, recordkeeping, scheduling, compliance documentation, and coordination with staff, schools, and families. The position helps ensure the efficient operation of the nutrition department to comply with district, state and federal requirements of school nutrition.
Essential Duties and Responsibilities: Include but are not limited to:
  • Serves as the primary administrative point of contact for the Director of Nutrition and nutrition department.
  • Manages calendars, meetings, trainings, appointments and schedules for the Director of Nutrition.
  • Prepares agendas, meeting materials, correspondence, reports, presentations and other department-related documents.
  • Takes meeting notes and tracks follow-up items, action steps and deadlines.
  • Organize and maintains electronic and paper filing systems.
  • Responds to phone calls, emails and inquiries from staff, school nurses, school administrators, parents/guardians and community partners.
  • Assists with resolving questions or concerns and directs issues to the appropriate staff member.
  • Assist with the creation and distribution of nutrition program and education materials, forms, and communications to schools and communities.
  • Supports the implementation and coordination of special events, including taste tests, nutrition education activities, wellness initiatives, and school nutrition promotions.
  • Communicates school food service programs and initiatives to parents, staff, and school communities to promote understanding and engagement; attends school district back-to-school nights and board presentations as requested.
  • Maintains a professional, responsive, and service-focused approach when interacting with staff, schools, families, and community partners.
  • Collaborates with the Corporate Executive Chef and Director of Nutrition to update menus and recipes.
  • Assists with the administrative components of the Administrative Review (AR) process for school districts.
  • Performs other duties as assigned by the Director of Nutrition.
QUALIFICATIONS:
  • Bachelor's degree from an accredited educational institution in Nutrition or a related field.
  • Experience working in a diverse school foodservice K-12 environment preferred
  • Exceptional communication and technical skills required

Essential Physical Requirements and Working Conditions:
The job requires occasional exertion of a heavy force of up to 50 pounds and/or frequent exertion of a medium force of 21 to 40 pounds. It is usually necessary to frequently stand, walk and transport objects. Intermittent standing, walking, bending, crouching, pushing, pulling, carrying, reaching about, lifting and lowering 1 to 50 lbs., repetitive motion of hand-wrist and elbow. Work also requires typing and filing documents. This is a part-time position, typically scheduled Monday through Friday, with hours aligned to school operations. Occasional late nights and weekends may be needed to attend events and meetings.
