Executive Personal Assistant to CEO, Prestigious Asset Management Firm, Boston, Mass, Hybrid

A prestigious asset management firm with over $600 Billion AUM is seeking an exceptional Executive Personal Assistant to serve as the CEO’s trusted partner and operational right hand.

This role extends well beyond traditional executive support. The Executive Personal Assistant will function as a force multiplier and strategic extension of the CEO, operating in a highly visible, capacity to maximize executive effectiveness, streamline operations, and ensure flawless execution across professional and personal priorities. This is a hybrid position in their well-appointed office in Boston, coming into the office 2 to 3 times a week and always when the CEO is in.t

About the Job:

  • Act as the CEO’s primary partner, managing daily priorities and ensuring focus on high-impact initiatives
  • Own complex calendar management across business with internal and external stakeholders’ clients/investors, and personal commitments
  • Serve as gatekeeper, liaison, and ambassador to senior leadership, board members, investors, and external stakeholders; Prioritize emails and craft emails on his behalf
  • Manage high-volume communications; prioritize inbox and craft emails on his behalf; draft other correspondence and briefing materials,
  • Coordinate domestic and international travel logistics, including detailed itineraries
  • Act as a liaison to the Board of Directors with the key executive that handles the board meetings and help as needed
  • Drive special projects and strategic initiatives, tracking deliverables across teams
  • Plan leadership offsites, dinners and special events, personal and professional
  • Help manage the upkeep of multiple homes
  • Oversee expenses
  • Handle personal matters, run errands, manage some household needs, gifting, car maintenance and other ad hoc personal projects
  • Leverage AI tools and modern productivity technologies to improve workflow efficiency, organization, and executive leverage

About You:

  • 7+ years supporting a CEO or senior C-suite executive preferably in the financial services space; Experience working for a larger organization in financial services highly desired.
  • Exceptional organizational judgment, prioritization skills, and proactive problem-solving ability
  • High emotional intelligence with the ability to anticipate needs and problem solve with little intervention
  • Outstanding written and verbal communication skills with the ability to represent the CEO professionally at all levels
  • Excellent Microsoft Office Suite skills; comfortable using AI-enabled productivity tools
  • Experienced planning and managing events; excellent project management skills; very organized and detail-oriented
  • An engaging warm personality that understands the “high touch” “white glove” service mindset.at this level and is a team player.
