Join our team committed to the delivery of the highest quality healthcare service. We are seeking a full-time Administrative Assistant to the Chief Behavioral Health Officer who is self-motivated, energetic, and a take-charge individual.
Job Responsibilities:
  1. Provide comprehensive administrative and clerical support to the Chief Behavioral Health Officer, as well as Behavioral Health providers and support staff.
  2. Supervise and manage the schedule of the Chief Behavioral Health Officer, including timely and accurate coordination of internal and external meetings.
  3. Apply strong critical thinking and independent judgment to assigned projects and operational tasks, proactively identifying needs and opportunities for improvement.
  4. Accurately document, organize, and maintain official meeting minutes and records for assigned meetings; ensure timely distribution and archive in accordance with organizational and regulatory standards and compliance.
  5. Collaborate with the Chief Behavioral Health Officer and the Behavioral Health Leadership Team (BLT) to prepare, monitor, and support departmental budgets, ensuring alignment with department priorities while identifying opportunities for cost control and workflow efficiency.
  6. Manage highly confidential Behavioral Health provider information with discretion and professionalism, maintaining accurate, compliant personnel records including licenses, credentialing documentation, loan repayment programs, professional memberships, and other employment-related records.
  7. Coordinate provider onboarding and transitions, including arranging new provider orientation, completion of change-of-status documentation, and submission of required information to the Credentialing Specialist.
  8. Prepare, distribute, and track annual performance evaluation materials for the Behavioral Health Leadership, ensuring timely completion for all employees reporting to Behavioral Health.
  9. Monitor and track providers for professional development and compliance requirements, including continuing medical education (CME) hours and associated expenditures within the fiscal year (April 1-March 31).
  10. Complete and process provider change-of-status documentation, including Addendum III, ensuring accuracy, timeliness, and compliance with organizational requirements.
  11. Prepare and provide accurate compensation-related reports, including accounting for contracted employees, to support provider pay rate determinations and payroll processing.
  12. Plan and coordinate department-wide morale, recognition, and engagement initiatives, including appreciation events, newsletters, retention surveys, and cross-team gatherings that promote collaboration and a positive workplace culture.
  13. Support compliance preparation and documentation for DHS and Joint Commission audits and regulatory reviews, contributing to updated workflows and process improvements.
  14. Assist Chief Behavioral Health Officer with tracking, maintenance, and submission of partnership agreements.
  15. Coordinate payment of Behavioral Health departmental expenses and assist with maintaining accurate inventory control.
Qualifications:
  1. Bachelor's or associate degree in related field or equivalent experience.
  2. Excellent oral and written communication skills.
  3. Ability to research and organize data and information.
  4. Computer use proficiency: specifically, use of Microsoft Professional software.
  5. Able to work confidentially with discretion.
  6. Able to relate to people of diverse ethnic and cultural backgrounds.
