Job description

DUTIES & RESPONSIBILITIES:
This dual position provides high-level administrative support to the CFO with functional, operational support for the broader finance and technology teams, all of which report into the CFO. This role plays an integral part in ensuring efficient day-to-day operations, coordinating logistics, and supporting finance and technology-related projects. The ideal candidate is highly organized, proactive, fluent with various AI tools, eager to learn, comfortable managing multiple priorities in a fast-paced environment, and a strong communicator.
Finance Team Support & Coordination (approximately 70% of time)
  • Financial & Reporting Support
    • Assist in coordinating and optimizing recurring financial templates (e.g., weekly reports and other materials)
    • Track deliverables and ensure timely input from stakeholders; oversee a shared planning calendar
  • Approval Workflows and Controls
    • Coordinate various support and approvals for the office of the CFO, ensuring appropriate process and documentation in partnership with Accounting, Internal Audit and others
  • Investor Relations (IR) Support
    • Provide IR support, including earnings call preparation, responsive logistics support, investor targeting, and presentation building
  • Project Support
    • Support key Finance team members with cross-functional projects between FP&A, IT, planning, Mergers & Acquisitions, Capital Markets, communications, and Strategic initiatives
  • AI and Process Improvement
    • Partner with the IT organization to identify practical FP&A use cases for approved AI tools, translate finance needs into clear requirements, and support adoption of AI-enabled workflows across recurring planning, reporting, analysis, and executive support activities.

Executive Support to CFO (approximately 30%)
  • Executive & Calendar Management
    • Manage the CFO calendar, coordinate meetings, support system management and approvals
  • Document Routing and E-signature
    • Coordinate document prep and execution, including e-signature workflows, tracking, and follow-up
  • Travel & Expense Management
    • Coordinate domestic and international travel, including flights, hotels, and ground transportation; prepare itineraries and contingency plans
    • Prepare and submit expense reports accurately, timely, and in compliance with company policy
  • Meeting & Event Coordination
    • Plan and execute CFO office events, FP&A all hands, town halls, and leadership/team events, including stakeholder coordination
    • Ensure materials are prepared, reviewed, and distributed in advance

EDUCATION & EXPERIENCE:
  • 2-5 years of finance, accounting, or consulting experience, preferably with demonstrated executive engagement
  • Bachelor's Degree in Business, Finance or related field preferred but not required

QUALIFICATIONS & SKILLS:
  • Basic proficiency with approved AI tools, or demonstrated curiosity and willingness to build AI fluency, with the ability to apply AI responsibly to improve finance, reporting, and administrative workflows.
  • Proven ability to handle sensitive financial data and strategic documents with the utmost discretion and confidentiality
  • Exceptional attention to detail and accuracy with strong organizational skills
  • Excellent written and verbal communication skills
  • Exceptional stakeholder management skills with the ability to influence cross-functional teams without direct authority
  • Desire to learn and continuously improve workflow and process
  • Familiarity with accounting terms, invoicing, or financial software is highly preferred
  • Proactive, self-starter mindset, with strong ownership and follow-through
  • Willing to work a demanding and flexible schedule
  • Proficient in Microsoft Office, strong proficiency with excel
