Job description

Summary:
  • This position is technically Conference Room support.
  • Can you please make sure the candidates know this is a very physical job? We do need someone that can also manage the process of conference room set up request but all perform the set ups.
  • This position is a unique position.
  • We need someone who physically can perform the tasks, that include set ups and take downs for large and small events, but also work closely with the customer to ensure the processes are followed and communicate well with the customer with the support of the Client site manager.
  • There is a large amount of walking due to the sheer size of the customer location. Also, there is lots of moving of tables and chairs for set ups through the customer's 4 buildings. Also, must be willing to help with other duties performed by client at the customer location. For example, mail deliveries and copy/print production.
  • The person must be flexible with their schedule as well.
  • There is alot of walking and standing and definitely lifting and moving of conference room furniture. Lifting and move up to 100# with help.
Responsibilities - Conference Room Management 9.18.2023
  • The Conference Room Specialist will be responsible for providing Corporate Hospitality and Conference Room Management, in addition to other support services on-site daily.
  • Set-ups and breakdowns for meetings, assist with clean up, arrange tables as needed, ensure conference room cleanliness.
  • Schedule and coordinate conference rooms
  • Ensure site common areas are clean, neat and supplies are well-stocked, maintained, and presentable; includes taking inventory and ordering additional office supplies.
  • Cross-train for other services provided on-site, to include Mailroom services and Copy/Print services, Order supplies.
  • Maintain the highest levels of customer care while demonstrating a friendly and cooperative attitude.
  • Consistently adhere to business procedure guidelines; Take direction from supervisor or site manager; Adhere to all safety procedures.
  • Perform other tasks as assigned.
  • Excellent communication skills both verbal and written; Ability to effectively work individually or in a team environment; Competency in performing multiple functional tasks.
  • Lifting to 55 pounds when needed; extended periods of walking and standing.
  • Knowledge of accommodating room capacities and organizing set-up requirements from information on Event Orders
  • Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness, and work with a minimum of supervision.
  • We need someone that has great customer service skills, follow up skills, communication skills and willing to do the physically labor part of this position.
  • There are many variables and nuances to the conference room management and setups/take downs.
  • Dress code is client shirts are provided, and jeans are allowed with very comfortable shoes or sneakers.
  • Collared shirts are required until client shirts are provided and jeans must be in good condition without rips and tears.

  • Achieves profitability in the area of cost of goods by effectively utilizing company materials and

  • May maintain daily routine functions to include creating/completing work orders, contractor
  • monitoring, inspections, reporting facility related issues, lending support as required.
  • May include interaction with contracted vendors, facility management and occupants.
  • May be responsible for office-supply inventory re-ordering.
  • May be responsible for Conference room coordination and A/V equipment resource
  • management.
  • Maintains positive internal working relationships with all department employees by

  • Collects and provides data to assigned leadership and customer. May include completing.

Minimum Qualifications:
