Job description

Responsible for directing all aspects of both operations to include the supervision and management of employees, materials, supplies, and quality control of all work performed. Maintain open communication with contract representatives and corporate personnel at both sites. Establish and monitor plans and procedures; provide guidance on employee problems. Initiate and maintain training programs, safety programs, sanitation programs, equipment maintenance with the assistance of the Assistant Project Manager (APM) with the quality control program.

Primary Duties

  • Oversee all assigned operations including supervision of employees toaccomplishcontractual and key performanceindicator(KPI) requirements.Oversee daily operations and workforce performance for a20employeeteam across Ft. Knox and the VA Hospital, ensuring compliance, productivity, and service continuity.
  • Develop staffing plans and coordinate with the Assistant Project Manager to interview, train, motivate,monitor, and evaluate performance of employees.
  • Maintain 88% minimum monthlyinvoicinghours at Ft. Knox, and staffing requirements for the PWS at the VA hospital.
  • Ensure that all employees are trained in customer service, research procedures for patient locator services, and medical emergency codes. Ensure records and reports are completed accurately andtimelyas required by operations, rehabilitation, and human resources departments as well as the contractor.
  • Maintain positive working relationships with the VA COTR and the Operations Manager at HRC (Inspiritec*Prime Contractor).

Additional Responsibilities

  • Interface with customers on a regular basis to solve issues.
  • Research, write, and discuss employee counseling reports.
  • Ensure that the scanning, faxing, and filing of all data meets or exceeds data security requirements asset forth inthe contract. Mustimmediatelynotify the Contraction Officer Technical Representative (COTR) and Executive Director whenever a breach is discovered.
  • Oversee andassistthe APM with IEE's, attendance,payrolland KPI requirements at each location.
  • Maintain the 24/7/365 scheduling of the VAMC Louisville.
  • Assign duties to employees as needed due to absenteeism whether scheduled or unscheduled. Perform these duties in cases where the APM or no other employee is available to fill in.
  • Interface with contract personnel on all routine matters pertinent to contractual obligations.
  • Perform other responsibilities as assigned.

Qualifications: Education, Experience, and Certification(s)

  • High school diploma or General Educational Development (GED) is required.
  • A minimum of 3-4 years of administrative services with management or supervisory experience required.
  • Must be able to obtain and maintain a Veterans Administration (VA) security clearance required.
  • Valid NC driver's license and/or access to reliable transportation to perform work-related travel required. Eligible drivers must have a good motor vehicle record (MVR).

Knowledge, Skills, and Abilities

  • Ability to work effectively with people internally and externally at all levels of an organization.
  • Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Excellent customer service skills.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Proficient in Microsoft Office Outlook, Word, and Excel. Must also become familiar with corporate specific programs and software.
  • Must be very organized, detail oriented, and able to carry out work with a high level of accuracy.
  • Excellent oral/verbal communication skills.
