Job description

ABOUT THE TEAM

Anduril is seeking a Mailroom Specialist to join the Real Estate & Facilities division based in Costa Mesa. As mailroom specialist, you will be responsible for receiving all non-production mail and packages, sorting, and delivering to departments. This role is highly interactive and requires exceptional customer service, sharp attention to detail, and proactive communication to support our fast-growing campus. You will serve as a central point of contact for daily logistics, ensuring critical materials and general correspondence reach the right teams quickly and securely.

WHAT YOU'LL DO
  • Mail & Package Intake: Unload courier delivery service and interoffice delivery trucks. Receive, inspect, log, sort, and process all incoming non-production mail, parcels, and freight deliveries from major carriers (USPS, FedEx, UPS, DHL, and local couriers). Troubleshoot shipments that may be unidentified or labeled with insufficient information.
  • Campus Distribution: Accurately deliver packages, mail, and office supplies to designated drop zones, departments, and individual team members across multiple buildings.
  • Outbound Shipping: Assist employees with outgoing mail, including proper packing, labeling, weighing, carrier selection, and customs documentation.
  • Inventory & Supplies: Maintain an organized, secure, and fully stocked mailroom; track supply levels (boxes, tape, bubble wrap, labels) and reorder materials proactively.
  • Internal Communication: Notify recipients of high-priority, fragile, or time-sensitive deliveries via Slack, email, or ticketing systems (e.g., Jira).
  • Facilities & Security Collaboration: Partner with the broader Workplace and Security teams to track desk moves and maintain secure mail handling protocols, and ensure optimal operational efficiency and provide input on continuous process improvement.
REQUIRED QUALIFICATIONS
  • Relevant Background: 2-3+ years of experience in shipping & receiving, mailroom operations, corporate facilities, warehouse logistics, or a fast-paced manufacturing / R&D environment.
  • Systems & Software: Working knowledge of modern logistics and office tools, including:
    • Carrier shipping platforms (FedEx Ship Manager, UPS WorldShip, DHL).
    • Inventory/ERP management systems (Oracle).
    • Slack, JIRA, and general computer/tablet hardware.
  • Data Accuracy: Strong data entry experience with high attention to detail and accuracy when logging and tracking inventory.
  • Equipment Certification: Current forklift certification strongly preferred; willingness and ability to complete onsite certification training upon hire if not currently certified.
  • Communication & Customer Service: Excellent written and verbal English communication skills; strong interpersonal and customer-facing skills with a service-oriented mindset. Should be comfortable collaborating with all departments and organizational levels.
  • Security & Discretion: High integrity and discretion when handling sensitive and confidential documents.
  • Adaptability & Accountability: Proven ability to troubleshoot, problem-solve with minimal direct supervision, and pivot quickly as priorities shift in a rapid-growth environment.
  • Organization: Exceptional time management and organizational skills to handle concurrent incoming and outgoing logistics workflows.
