Job Overview:

We are looking for a Client Service Specialist in McLean, VA to support the office's advisors and their clients, while also performing general administrative tasks as needed.

Responsibilities:

  • Provide comprehensive client service for the firm's clients and support for advisors. This includes corresponding with clients (electronically and verbally), opening accounts), facilitating asset transfers, processing money movements, drafting letters of instruction, liaising with custodians, accountants, and other professionals, etc.
  • Responsible for the accuracy and timeliness of work, including documenting, completing, and tracking completion of client related tasks and properly updating system software with client and other related information
  • Initiate workflow processes and ensure that checklists are generated and completed for meetings.  This includes onboardings, comprehensive reviews, discovery meetings, terminations, etc.
  • Prepare for client meetings.  This includes generating reports and any other documents advisors may need for their meeting. May attend client meetings in a technical, supporting or learning role
  • Monitor client account activity, research and resolve issues, and follow-through to ensure client's needs are met
  • Oversee conference room calendars
  • Screen and direct all inbound calls and take messages as needed; greet and accommodate guests
  • Manage all tasks pertaining to the office environment including tracking/ordering supplies, organizing company documents, and maintaining office appearance
  • Assist with planning and coordination of client events
  • Provide real time scheduling support by booking appointments and preventing calendar conflicts; oversee the calendar for the wealth management team
  • Organize, scan and maintain all client paperwork
  • Assist in greeting clients and visitors, screening and transferring calls, and scheduling meetings
  • Multi-task, organize and complete all other projects as assigned by management, prioritize projects, client needs and office procedures
  • Consistently maintain a high standard of client service
  • Preserve client confidentiality

Qualifications:

  • Associate's Degree, at a minimum
  • Minimum of 3+ years of experience in an RIA firm or financial services field
  • Intermediate finance and custodian knowledge
