Scope of the Job

The Assistant Purchasing Manager for Soho House is responsible for the purchasing, storage, and inventory of products. This includes all beverages, China/glass/silver, linen, and cleaning supplies. Additionally, the Assistant Purchasing Manager will coordinate with the managers of each department to ensure products are ordered and stored efficiently.

Key Responsibilities

  • Help to oversee receiving team in their daily tasks of receiving products physically and in Adaco, print daily Purchase Orders for matching to invoices/BOLs, fill department requisitions as needed, transfer product between outlets, running of daily Receiving Report.
  • Open and close weekly period at optimal time, understanding the needs of your respective site as well as finance and Accounts Payable (AP) teams
  • Manage order guides and maintain templates, assist departments in maintaining their own templates as well in coordination with Lead Receiver.
  • Assist receiving team and other departments to keep the Adaco Receiving Center up to date and communicate any notes to PM
  • Execute monthly inventory counts into Adaco and participate in recounts as requested and assist in Inventory reporting
  • Run Recipe Report, coordinate with food and beverage teams for 100% compliance
  • Compile all invoices for food, beverage, and variables and send to AP on a weekly basis in coordination with Lead Receiver. Ensure all invoices are received correctly in Adaco before sending to AP, help other departments to fix any issues. Host weekly calls with Purchasing/Receiving and AP to discuss payment issues and priorities. Reconcile statements and invoices when necessary.
  • Maintain stock of Beverage Storeroom, order correct quantities to keep up with PAR levels and ensure we operate withing our beverage cost of sales percentage. Meet with bar and events teams about large scale events, new product requests, and work with vendors, partnership, PM, and procurement to source necessary items.
  • Maintain compliance with beverage partnerships, including stock requirements and menu placements.
  • Assist PM and Lead Receiver with maintaining stock of disposable items and cleaning supplies, ensure we order within our variable cost of sales budgets. Work with procurement team to source items, negotiate better pricing, etc.
  • Performs other duties as assigned by supervisor/manager.

Experience Required

  • 2 – 3 years experience in a similar role. Background in overseeing ordering against budgets, maintaining a beverage program, and supervising/managing.
  • Food and Beverage ordering
  • Beverage and Finance knowledge
  • Knowledge of Adaco or other ordering systems preferred.
  • Previous experience receiving perishable and non-perishable items that require storage temperatures be kept at specific state / government regulated level
  • Must be able to speak and read fluent English to communicate with our centralized support office, other department heads, and vendors and delivery personnel. Read package slips, labels, etc.
  • Flexible schedule and team-player
  • Detail oriented and proven ability to build relationships with vendors and other company stakeholders.
  • Ability to multitask, prioritize, and work in a fast-paced environment.
  • SmartServe certified

Physical Requirements:

  • Must be able to seize, grasp, turn and hold objects with hands.
  • Must be able to work on your feet for at least 8 hours.
  • Fast paced movements are required to go from one part of the club to others.
  • Must be able to move, pull, carry, or lift at least 50 pounds.
  • Must be able to kneel, bend, crouch and climb as required.
