Job description

Truspace is seeking an experienced Project Coordinator to join our busy and growing team. The Project Coordinator supports the successful delivery of construction projects by assisting with project management, procurement, and coordination activities. Working closely with Project Managers, site teams, vendors, and consultants, this role helps ensure projects run smoothly by coordinating documentation, tracking schedules and milestones, supporting tendering and procurement processes, and facilitating communication between stakeholders. The Project Coordinator plays a key role in maintaining organization, ensuring project requirements are met, and supporting the overall efficiency of project operations.


Job Responsibilities

  • Assist with project procurement, including preparing and issuing purchase orders for consultants, vendors, and suppliers.
  • Coordinate tendering activities, including preparing tender packages, distributing documents, and collecting and organizing bid submissions.
  • Obtain and track pricing for materials and long-lead items to support project timelines.
  • Liaise with trades, designers, project managers, and vendors to clarify project scope and ensure smooth coordination.
  • Support project scheduling by tracking milestones and ensuring trades and suppliers are aligned with the project timeline.
  • Maintain project documentation, logs, and internal databases related to procurement, estimating, and project tracking.
  • Assist with RFIs, PCNs, and change orders, including maintaining logs and tracking approvals and responses.
  • Review trade and supplier invoices to ensure accuracy and alignment with issued purchase orders.
  • Identify and flag potential risks or delays related to vendors, materials, or scheduling.

  • Diploma or Degree in Construction Management, Engineering, or related field.
  • 2–3 years of project coordination experience within the commercial construction or tenant improvement (TI) industry.
  • Ability to read and interpret construction drawings.
  • Basic understanding of mechanical and electrical systems within commercial construction.
  • Knowledge of interior construction processes and materials.
  • Familiarity with construction materials and their associated costs is an asset.
