Your Opportunity
We are currently seeking an Assistant Project Manager with strong multi-tasking, interpersonal, organizational, and communication skills to provide project management assistance to support several projects for Energy and Resources. This position is ideal for an individual who is an organized and motivated self-starter and takes pride in keeping a team well organized, running smoothly, and can "think ahead". Assistant Project Managers play a critical role in ensuring that technical, financial, and contractual requirements are met across multiple disciplines and stakeholders in our large consulting environment.
Your Key Responsibilities
In this position, you will be responsible for diverse functions that include, but are not limited to, the following:
Project Coordination and Scheduling
  • Coordinate with our project team members across several offices to facilitate and document meetings, and support the internal execution of fast-paced, multi-discipline engineering projects
  • Assist in developing and maintaining detailed project execution plans and project schedules
  • Coordinate tasks across multiple technical disciplines, and subconsultants, to ensure alignment and timely delivery
  • Track project progress, identify risks and potential delays, and support mitigation planning
  • Create and update Project Setup Forms, Project Execution Plans
  • Help set up and maintain project files
  • Contribute to process improvement efforts related to project organization and efficiency

Budgeting and Cost Control
  • Support project budgeting, cost tracking, and financial forecasting
  • Prepare financial status reports and assist with invoicing and expense monitoring
  • Review and process subconsultant invoices, checking for accuracy and compliance with contracts and work performed

Documentation and Reporting
  • Maintain organized project documentation, including meeting minutes, submittals, RFIs, and correspondence
  • Prepare project status updates, progress reports, and client presentation materials
  • Assist in compiling technical deliverables and proposals

Client and Stakeholder Communication
  • Support Project Managers in managing client communications
  • Help plan and participate in client and internal meetings, preparing agendas and documenting action items
  • Serve as a routine point of contact with subconsultants and vendors

Technical Delivery Support
  • Coordinate preparation and submittal of technical deliverables across multiple disciplines
  • Assist in review of deliverables, checking for completeness, consistency, and adherence to format and standards
  • Help coordinate and document quality control reviews and compliance with project requirements

Contract and Procurement Assistance
  • Coordinate and assist with preparation of contracts, subconsultant agreements, and change orders
  • Track contract deliverables and ensure compliance with contract
  • Assist with procurement of materials, equipment, and services

Risk, Safety and Compliance
  • Assist project managers with quality management and project audits
  • Assist with project risk assessments and mitigation planning
  • Support adherence to health, safety, security and environmental policies and procedures
  • Help track compliance and training documentation for health and safety programs

Business Development Support
  • Work with project management, marketing, and other administrative staff to develop successful proposals
  • Conduct research and document coordination to support proposal teams

Your Capabilities and Credentials
We are seeking a self-motivated individual who can learn quickly and adapt to new software tools and project management processes. Additional qualifications include:
  • Excellent communication skills, verbal and written
  • Proven proficiency using Microsoft Office and presentation support tools, specifically Word, Excel, PowerPoint, Outlook, and Adobe Professional
  • Flexibility and excellent organization skills to complete multiple tasks with conflicting deadlines
  • Aptitude in working with numbers and general accounting understanding and experience
  • Ability to work independently and in a dynamic team environment
  • Good communication skills, both verbal and written
  • Self-motivated and strong attention to detail
  • This is a hybrid position and requires the individual to work in a Stantec office per discussions with Supervisor.

Education and Experience
  • BA or BS degree
  • Experience organizing and improving program and project processes
  • Minimum of 2-4 years of experience working in project coordination or support roles

Pay Range:
• Locations in WA, DC & Various CA, MA, VA Areas-$80,000.00 - $112,000.00 Annually
Pay Transparency: In compliance with pay transparency laws, pay ranges are provided for positions in locations where required. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible. Actual compensation for part-time roles will be pro-rated based on the agreed number of working hours per week.
Benefits Summary: Regular full-time and part-time employees (working at least 20 hours per week) have access to medical, dental, and vision plans, a wellness program, health saving accounts, flexible spending accounts, 401(k) plan, employee stock purchase program, life and accidental death & dismemberment (AD&D) insurance, short-term/long-term disability plans, emergency travel benefits, tuition reimbursement, professional membership fee coverage and paid family leave. Regular full-time and part-time employees will receive ten paid holidays in each calendar year. In addition, employees will be eligible to accrue vacation between 10 and 20 days per year and eligible for paid sick leave (and if more generous, in accordance with state and local law).
Temporary/casual employees have access to 401(k) plans, employee stock purchase program, and paid leave, in accordance with state and local law.
