Job description

We are seeking a highly organized, detail-oriented, and proactive Assistant Project Manager to join our luxury residential construction team. This role is ideal for someone who thrives in a fast-paced environment, takes pride in exceptional craftsmanship, and understands that successful high-end construction requires meticulous planning, communication, and attention to detail.

The Assistant Project Manager will work closely with the Project Manager, field team, subcontractors, vendors, architects, designers, and homeowners to help ensure projects are delivered on time, within budget, and to the highest standards of quality.

Key Responsibilities

Project Coordination

  • Assist the Project Manager with the day-to-day coordination and administration of luxury residential construction projects.
  • Maintain project schedules, deadlines, milestones, and task lists.
  • Coordinate with subcontractors, vendors, architects, designers, engineers, and other project partners.
  • Track project progress and communicate updates, potential delays, and issues to the Project Manager.
  • Help prepare and distribute project documentation, meeting notes, schedules, and action items.
  • Maintain organized digital and physical project files.

Pre-Construction & Procurement

  • Assist with estimating, budgeting, takeoffs, bid comparisons, and subcontractor scope reviews.
  • Help obtain and track subcontractor and vendor proposals.
  • Assist with material selections, purchasing, lead-time tracking, and delivery coordination.
  • Monitor long-lead items and proactively communicate potential procurement issues.
  • Review plans, specifications, selections, and other project documents for accuracy and coordination.

Construction Administration

  • Assist with managing RFIs, submittals, change orders, purchase orders, invoices, and other project documentation.
  • Track costs and assist with maintaining accurate project budgets.
  • Help coordinate inspections, deliveries, site meetings, and subcontractor activities.
  • Assist with documenting field conditions and resolving construction-related issues.
  • Participate in project meetings and help ensure action items are followed through to completion.
  • Support the Project Manager in maintaining project quality and schedule expectations.

Client & Team Communication

  • Help maintain a professional, responsive, and service-oriented relationship with homeowners and clients.
  • Communicate professionally with architects, interior designers, consultants, subcontractors, and vendors.
  • Follow up consistently on outstanding decisions, selections, pricing, schedules, and deliverables.
  • Represent the company with the professionalism and discretion expected in a luxury residential environment.

Quality & Closeout

  • Assist with quality-control efforts throughout construction.
  • Help track punch-list items and coordinate their completion.
  • Assist with final inspections, project closeout, warranty documentation, and turnover.
  • Ensure project records remain accurate and complete from pre-construction through completion.

Qualifications

  • 2+ years of experience in residential construction, project coordination, construction management, architecture, design, or a related field preferred.
  • Strong organizational and time-management skills.
  • Exceptional attention to detail and follow-through.
  • Ability to read and understand architectural plans, drawings, and specifications.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and construction/project management software.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Professional demeanor and ability to interact confidently with high-end clients and industry professionals.
  • Strong problem-solving skills and a proactive approach to identifying and resolving issues.
  • Valid driver's license and reliable transportation.
