Position Overview

Vantage Data Centers is seeking an ambitious and selfstarting Project Coordinator to support the planning, coordination, and execution of construction projects at our Port Washington, WI site. This role plays a critical part in ensuring projects progress efficiently, remain organized, and meet schedule, budget, quality, and safety expectations.

The Project Coordinator works closely with Project Managers, Construction Managers, and crossfunctional stakeholders to support daytoday project activities, documentation control, reporting, and communication. The ideal candidate is detailoriented, highly organized, and comfortable working in a fastpaced, missioncritical construction environment.

This position is onsite in Port Washington, WI.

Essential Job FunctionsProject Coordination and Administrative Support:
  • Assist with daytoday coordination of construction projects, ensuring activities align with established project goals and objectives.

  • Schedule, organize, and support project meetings, ensuring required participants are informed and prepared.

  • Maintain open and transparent communication with project managers, team members, and stakeholders, providing regular updates on project progress.

Documentation and Compliance:
  • Ensure project compliance with Vantage document control procedures and file specifications.

  • Maintain accurate project records, ensuring documents are properly filed, organized, and accessible.

  • Monitor document workflows to support timely reviews, approvals, and distribution.

Contract and Financial Support:
  • Assist in the management and processing of vendor contracts and purchase orders (POs).

  • Ensure contracts and POs are processed efficiently and in accordance with company policies and procedures.

  • Support preparation and distribution of project reports, highlighting key milestones, risks, and issues.

Reporting and Communication:
  • Prepare and distribute routine project reports and status updates as required.

  • Support tracking of action items, deliverables, and followups to maintain project momentum.

Additional Duties:
  • Handle additional duties as assigned by Management.

Job Requirements
  • Combination of education and/or proven experience as a Project Coordinator or in a similar role required.

  • 1-3 years of experience supporting construction projects in a Project Coordinator or similar role preferred.

  • Contract preparation or purchase order processing experience preferred.

  • Strong organizational and project management skills.

  • Excellent written and verbal communication skills.

  • Strong attention to detail and accuracy.

  • Ability to multitask and prioritize effectively in a fastpaced environment.

  • Problemsolving mindset with a focus on continuous improvement.

  • High level of integrity and professionalism.

  • Positive, proactive, and customerfocused attitude.

  • Ability to work independently and collaboratively within a team environment.

  • Travel is expected to be approximately 5% and may increase as business needs evolve.
