Operations Manager Job Description
Objective
Responsible for leading, directing, and controlling all aspects of the Operations Department to ensure operational excellence, budget compliance, and exceptional customer satisfaction through effective leadership, resource management, and adherence to Clean Team systems and policies
The Operations Manager position is predominantly scheduled during daytime hours, with occasional evening work as required or directed by the branch GM.
Responsibilities
• Oversee the Operations Department and its employees to ensure operational efficiency
• Prioritize daily responsibilities for Staffing Coordinator, Area Managers, Site Managers and Support Techs to ensure the best service delivery each day
• Ensure compliance with our company guarantee: ‘We will never miss a day of service!”
• Review and control labor hours of employees in all areas to ensure alignment with budgeted hours and goals
• Ensure labor budgets are in line and do not exceed the allotted budget for each facility managed
• Monitor and control overtime; use employees with fewer hours before assigning additional work
• Review employee clock-ins and clock-outs in Chronotek to verify they are within budget and made from the customer’s location and not a personal cell phone
• Train, re-train, and cross-train area managers, supervisors, and cleaners
• Re-train or replace employees when necessary, delegating as appropriate
• Work with GM on inventory, par levels, ordering needs and deliveries. Process and schedule deliveries of billable products to customers
• Ensure customer satisfaction in the performance of our service agreements
• Work alongside the GM to build strong customer relationships and resolve dissatisfied or irate customer concerns through professional communication and in-person visits
• Complete 1–3 building inspections daily, focusing on VIP accounts, and submit results to the GM and reporting systems
• Oversee the Staffing Coordinator, including their role, responsibilities, and performance
• Email daily and nightly report to GM
• Assists in other areas of company accounts and the company, as needed
• Performs other job-related duties and special projects as required by the GM
4 PM Meeting
• Attend, coordinate, and lead the daily 4:00 PM Manager’s Meetings (Monday–Friday) in accordance with the established meeting format
• Hold Area Managers accountable for budget variances, missed services, and overall non-performance
• Use roll call to ensure all evening service vacancies are covered by reassigning staff, adding resources, or personally completing the service if necessary to meet customer commitments
• Review reports from the previous night, designate corrective actions, and delegate responsibilities
• Plan and optimize routes for inspections and deliveries
• Review and discuss HR violations, determine the appropriate course of action, and complete all required HR documentation for submission
• Verify that Area Managers/Supervisors report inventory shortages and set up delivery schedules
Level Board Management
The Level Board is a tool for tracking customers who may be dissatisfied with our services. Level 1 indicates minor issues, Level 2 signals cause for concern, and Level 3 identifies accounts at highest risk.
• Review all customer services, any reported issues, and negative feedback to determine if the customer should be added to the Level board
• Review Level Board daily to ensure problems are resolved, work orders are completed, and opportunities are corrected. Make recommendations to GM for movement of levels
• Revisit past Level Board entries to prevent recurring issues
• Only the GM has the authority to remove a customer from the Level board. For VIP customers, the VP of Operations must also be consulted before removal
Staffing Coordinator Management
The Staffing Coordinator, managed primarily by the Operations Manager, plays a critical role in the branch’s success. This position is responsible for overseeing the recruiting, hiring, and onboarding of new employees, ensuring the branch is staffed effectively to meet operational needs.
• Collaborate with the Staffing Coordinator to communicate the branch’s staffing needs, including current vacancies and anticipated openings from upcoming start-ups.
• Assist with completion and submission of new hire paperwork to HR
• Monitor Staffing Coordinator’s success and performance data
• Complete and submit termination paperwork to HR as needed
• Report employee time discrepancies and actions to HR
• Assist with training new hires in designated areas
• Assist in start-up operations for new accounts in designated areas
• Perform other reasonable duties within the scope of the job
