Job Description

The Operations Manager is a vital member of our support team, providing administrative and operational assistance to Clinic Leadership and the Home Office. This role is responsible for the day-to-day execution of  Clinic Operations and centralized Scheduling and Intake processes, ensuring efficient clinical operations and effective team support.

Summary & Expectations:

  • Provide direct management and oversight of Operations Support and Clinic Leadership

  • Serve as the primary administrative partner to the Operations Director, including, meeting preparation, and special project support.

  • Streamline communication flow between senior leadership and clinic leadership to ensure alignment on key initiatives.

  • Assist the Operations Director in tracking departmental goals and reporting on operational KPIs.

  • Manage and execute centralized Scheduling and Intake workflows to ensure operational efficiency.

  • Assist with the implementation of local operational policies and procedures.

  • Support onboarding, and training coordination.

  • Maintain awareness of potential operational obstacles at all levels and proactively address them.

  • Attend and contribute to weekly Operations meetings in support of Clinic and Senior Leadership.

  • Develop and update operational reports on a weekly, monthly, and quarterly basis to inform strategic decision-making.

  • Engage with all levels of employees, responding to feedback and routing it effectively to ensure a positive team culture.

  • Delegate tasks appropriately to team leads and department heads to maximize operational efficiency.

  • Contribute to a motivating therapy environment.

Qualifications
  • Bachelor's degree preferred or equivalent experience in administrative or operations support.

  • Strong organizational, time-management, and communication skills.

  • Proficiency in Google Workspace and operational management software.

  • Ability to maintain confidentiality and provide empathetic support in a fast-paced environment.

  • High attention to detail with the ability to support multiple stakeholders simultaneously.

  • Job Specifics:

    Reports to: Operations Director

    Status: Salary, Exempt

    Location: Flower Mound, TX

    Travel: Requires travel to the DFW, Houston, Tulsa, and Oklahoma City markets.
