The Administrative Assistant and Operations Manager provides high-level administrative, operational, and strategic support to the Vice President of Student Life and the Student Life Department. This position serves as a key coordinator for departmental operations, communication, scheduling, projects, budgeting, special events, and select student engagement initiatives.
RESPONSIBILITIES
Executive Support
  • Provide direct administrative support to the Vice President of Student Life, including calendar management, meeting coordination, correspondence, travel arrangements, and project follow-up.
  • Prepare agendas, presentations, reports, meeting notes, and departmental communications.
  • Assist in managing confidential information with professionalism and discretion.
  • Serve as a liaison between the Vice President, students, parents, faculty, staff, and external partners.

Operations Management
  • Coordinate day-to-day operations of the Student Life division to ensure efficiency and alignment across departments.
  • Assist with strategic planning initiatives, departmental assessments, and divisional projects.
  • Monitor timelines, deadlines, and follow-through for key initiatives and campus events.
  • Develop and maintain operational systems, workflows, and organizational procedures.
  • Support policy implementation and compliance within Student Life departments.

Budget & Administrative Coordination
  • Assist in monitoring divisional budgets, purchasing, reimbursements, and expense tracking.
  • Coordinate contracts, invoices, and vendor communications.
  • Maintain accurate records, files, and departmental documentation.

Event & Program Support
  • Help coordinate Student Life events, leadership programs, retreats, training, orientation activities, and select campus engagement initiatives.
  • Collaborate with campus partners to support a vibrant and Spirit-empowered student experience.
  • Provide logistical oversight for meetings, conferences, and special events.
  • Provide oversight and coordination of the University Esports Team.

Communication & Collaboration
  • Support internal and external communication efforts for Student Life initiatives.
  • Coordinate divisional calendars, marketing requests, announcements, and communication strategies.
  • Manage and coordinate Student Life digital platforms, including the Student Life webpage and mobile app, to support student engagement initiatives and campus communication.
  • Foster collaborative relationships across campus departments.
REQUIREMENTS
REQUIRED:
  • Bachelor's degree in Higher Education, Business Administration, Communication, Ministry, or a related field.
  • 3-5 years of administrative, operational, or project management experience, preferably in higher education or ministry settings.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple projects and priorities with attention to detail.
  • Proficiency in Microsoft Office, Google Workspace, and administrative systems.
  • Ability to handle confidential information with discretion and professionalism.
  • Demonstrated commitment to the mission, vision, and values of the university.

PREFERRED:
  • Experience in Student Life, higher education administration, or nonprofit leadership.
  • Knowledge of budgeting, event coordination, and project management practices.
  • Experience supporting senior-level leadership.
