The ideal candidate is a self-starter who can independently manage multiple matters, maintain accurate records, track deadlines, and keep legal and real estate transactions moving forward.Essential Duties & ResponsibilitiesReal Estate & Transaction SupportCoordinate real estate acquisitions, sales, leases, easements, options, and other property transactions.Prepare and organize purchase agreements, closing documents, and transaction checklists.Coordinate with title companies, lenders, brokers, surveyors, attorneys, and other transaction partners.Review closing and loan documentation for completeness and consistency.Maintain organized digital and hard-copy property and transaction files.Assist with commercial lease administration, including notices and eviction coordination.Corporate Governance & Entity ManagementMaintain corporate records, organizational documents, and minute books for company entities.Coordinate annual reports and state filings.Prepare routine corporate resolutions, consents, and other governance documents.Track entity and governance deadlines.Maintain accurate electronic corporate records.Contract & Lease AdministrationMaintain the companyโ€™s contract and lease repository.Track renewal, expiration, and other important contract dates.Prepare initial drafts of standard agreements and related documents.Coordinate contract review, approval, and electronic signature processes.Work with internal departments and outside counsel to ensure timely execution and retention of agreements.Legal & Litigation SupportMaintain legal and litigation files and calendars.Coordinate document collection and discovery responses.Track court filings, deadlines, and outside counsel requests.Coordinate outside counsel invoices and legal matter administration.Prepare case and matter status updates for management.Compliance & Risk ManagementMaintain licenses, permits, insurance certificates, and other compliance documentation.Monitor legal and regulatory deadlines.Maintain legal and compliance calendars.Assist with document retention and other compliance initiatives.Trust & Estate AdministrationMaintain trust and estate records and documentation.Assist with trustee consents, resolutions, and related administrative matters.Coordinate with CPAs, financial advisors, attorneys, and other professional advisors.Maintain and update the annual trust calendar.Legal Operations & Executive SupportManage legal department workflow and matter tracking.Prioritize and coordinate incoming legal requests.Prepare management reports, executive summaries, and presentations.Coordinate special projects and cross-functional initiatives.Assist with policy development and other legal/administrative projects.Provide regular reporting on contracts, transactions, land matters, litigation, compliance deadlines, and other open legal matters.Preferred Qualifications & SkillsParalegal certification or equivalent legal experience preferred.Real estate closing and transaction experience strongly preferred.Experience with corporate governance and entity maintenance.Experience with commercial contracts and leases.Strong understanding of title, closing, and real estate documentation.Litigation support experience preferred.Trust and estate administration experience a plus.Strong written and verbal communication skills.Excellent organization and attention to detail.Ability to manage multiple priorities and deadlines independently.Strong project management and problem-solving skills.Proficiency with Microsoft 365 and SharePoint.Experience with DocuSign or other electronic signature platforms.Notary Public preferred.Ideal CandidateThe ideal candidate will have a combination of paralegal expertise, real estate experience, project management ability, and strong administrative judgment. This person should be comfortable working independently, communicating with executives and outside professionals, identifying what needs to happen next, and following matters through to completion.Priority will be given to candidates with:Real estate closing and transaction experience. Corporate governance and entity maintenance experience. Commercial contract and lease administration experience. The ability to independently coordinate with internal teams and outside professionals.
