Job description

The Director of Operations is responsible for the efficient and effective administration of the Cedarburg Art Museum. This position provides leadership and oversight for organizational operations, financial administration, facilities management, human resources, risk management, event support, and organizational systems. Working closely with the Executive Director and Curator, the Director of Operations ensures that the Museumโ€™s daily activities are aligned with strategic priorities and that organizational resources are managed responsibly. The Director of Operations serves as the Museumโ€™s primary internal administrator and project manager, creating systems and processes that support operational excellence and sustainable growth.

Qualifications
  • Bachelorโ€™s degree in Business Administration, Nonprofit Management, Accounting, Public Administration, Operations Management, Hospitality Management, or a related field.

Relationships

The Director of Operations reports to the Executive Director and is in a peer position to the Curator. The Director of Operations provides direct supervision to the Events and Facilities Coordinator and the Administration and Communications Coordinator.

Salary & Benefits
  • This is a full-time, salaried position.

Primary Responsibilities Administration and Organizational Management:
  • Coordinate and oversee the Museumโ€™s day-to-day operations and workflow.
  • Develop, implement, and maintain organizational policies, procedures, and operational systems.
  • Monitor organizational priorities and assist in the execution of strategic initiatives.
  • Maintain organizational records and administrative documentation.
  • Ensure effective communication and coordination among staff, contractors, and volunteers.
  • Support Board and committee operations as assigned by the Executive Director.
Financial Administration:
  • Manage accounts payable and receivable.
  • Oversee bookkeeping processes and financial recordkeeping.
  • Reconcile bank accounts and financial records.
  • Prepare monthly financial reports and supporting documentation.
  • Assist the Executive Director and Finance Committee with budget development and monitoring.
  • Coordinate annual audit, Form 990 preparation, and financial compliance activities.
  • Maintain vendor relationships and oversee contract administration.
Human Resources Administration:
  • Maintain personnel files and employment documentation.
  • Perform background checks on employees and volunteers where required by law or policy.
  • Coordinate employee onboarding and offboarding processes.
  • Administer payroll and related personnel records.
  • Assist with staff scheduling and workforce planning.
  • Support employee performance management processes.
  • Ensure compliance with applicable employment laws and organizational policies.
Facilities and Risk Management :
  • Oversee the maintenance, preservation, and operation of Museum facilities and grounds.
  • Coordinate contractors, vendors, and maintenance providers.
  • Monitor building systems, safety procedures, and security protocols.
  • Maintain organizational insurance records and risk management practices.
  • Ensure compliance with applicable safety regulations and facility requirements.
  • Develop and maintain emergency preparedness and business continuity plans.
Events, Rentals, and Visitor Experience:
  • Provide administrative oversight and logistical support for Museum events, rentals, and special programs.
  • Coordinate operational planning for major Museum events.
  • Collaborate with the Events & Facilities Coordinator to ensure successful event execution.
  • Support visitor experience initiatives and facility readiness.
  • Assist with operational planning for future organizational growth and expanded programming.
Project Management:
  • Lead and coordinate operational improvement projects.
  • Develop project timelines, budgets, and implementation plans.
  • Track project milestones and organizational deliverables.
  • Support facility improvement and capital planning initiatives.
  • Assist with operational planning associated with future expansion opportunities.
