About the Role
As an Executive Assistant & Office Manager, you will support our CEO and help keep the company operating smoothly as we grow. You will own calendar and inbox workflows, coordinate meetings and travel, prepare briefings, protect focus time, and ensure important follow-ups do not fall through the cracks. You will also manage day-to-day office logistics, team events, onboarding and offboarding, recruiting coordination, and our upcoming office move.
This is a unique opportunity to work closely with a technical founder at an early-stage deep-tech company and gain a front-row seat to how a frontier AI and neurotechnology company is built. You will collaborate with the operations lead and the broader team to anticipate needs, reduce friction, and develop lightweight systems that make the company more effective. This is an in-office role based in San Francisco, five days per week.
About You
  • 1-3 or more years of relevant experience in executive assistance, office management, operations, hospitality, customer service, recruiting coordination, or startup support.
  • High ownership, strong follow-through, and the ability to anticipate needs without waiting to be told every next step.
  • Excellent judgment in calendar management, inbox management, written communication, and handling confidential information.
  • Strong attention to detail without losing sight of broader company priorities.
  • Comfort working in a fast-paced startup environment where priorities may change quickly.
  • A proactive, resourceful, low-ego approach and a strong service orientation.
  • The ability to turn broad objectives-such as protecting the CEO's strategy time-into practical systems and better working rhythms.
  • Excellent organizational and logistical skills across meetings, travel, team events, office operations, onboarding, and recruiting coordination.
  • Excitement about AI, neuroscience, brain-computer interfaces, or other frontier technologies.
  • Willingness to work from our San Francisco office five days per week.
Experience supporting a founder, CEO, investor, or technical executive is a plus, as is experience at an early-stage startup. Familiarity with tools such as Google Workspace, Slack, Ashby, Notion, and Linear is also helpful.
