Job Summary

The Building Management Office Assistant provides operational support for the College of Natural Resources Building Management Team. This role completes various daily tasks such as fulfilling key requests, monitoring the progress of work orders, and configuring project files for organization. In addition to completing daily tasks the position supports the College of Natural Resources Building Management Team with dynamic projects and spontaneous tasks which requires strong organizational skills, time efficiency, attention to detail, adaptability and the ability to manage multiple priorities in a collaborative environment.

Key Job Responsibilities

Daily Work

  • Serves as first point of contact for individuals requesting usage of UWSP keys by communicating UWSP key information to all authorized key users such as key check out policies and ensures proper UWSP key authorization protocols are followed.
  • Maintains status of work order information to ensure communication of tasks is optimal.
  • Create and assign project IDs and update project files according to information provided by the Building Manager or Project Facilitator.
  • Provide administrative assistance and project support to Building Management Team.
  • Perform daily office tasks: printing, copying, filing, archiving, basic data entry.

Communications

  • Provide professional phone/email reception and in-person customer service to individuals.
  • Appropriately direct inquiries from individuals to the Building Management Team.

Other Duties

  • Perfom additional office tasks assigned to support department operations and student learning goals.

Required Qualification

  • Excellent written and verbal communication and professional telephone/email etiquette.
  • Proficiency with Microsoft Office (Teams, Word, Excel).
  • Strong organizational skills.
  • Strong time management skills.
  • Trustworthy handling of confidential information.
  • Willingness to learn department programs.
  • Attention to detail.

Preferred Qualifications

  • Previous front desk and administrative experience.
  • Previous customer service experience.
