BILINGUAL FRONT OFFICE ADMINSTRATIVE ASSISTANT

JBI dba Western Millwork, a Phoenix manufacturer of architectural millwork and cabinetry, seeks a bilingual front office administrative assistant who can oversee the day-to-day operations of the front desk and perform a variety of administrative and clerical functions for various departments.

ESSENTIAL DUTIES/ RESPONSIBILITIES

Perform a variety of administrative functions as follows:

·         Answer telephone and provide information/assistance & route caller to appropriate staff member

·         Greet and assist visitors

·         Handle incoming and outgoing mail

·         Administer New Hire Paperwork / Pre-employment Drug Screen

·         Maintain office and kitchen supply inventory as needed

·         Place Service Calls on office equipment and vending machines

·         Assist management team with special projects

·         Schedule Fed Ex Pick Ups

·         Monthly Credit Card Reconciliation for CFO

·         Assist with Office Luncheons and Holiday Party

·         Book Hotels and Flights

·         Notary

·         Enter data for work orders in SmartSheet

·         Print work orders and make job folders for various departments

·         Sort weekly Payroll Checks

·         Scan weekly A/P Invoices

·         Upload Delivery Tickets and attach to job number in SmartSheet

·         Request samples for the Project Managers

·         Make labels for samples

Skills/Qualifications

·         Must be computer literate and proficient using MS Office, e-mail and internet

·         Must be flexible and able to multi-task

·         Must have professional telephone skills

·         Must be customer service oriented

·         Must be organized and able to manage time according to priorities

·         Must be detailed oriented

 

Special Requirements

·         High school diploma required

·         2+ years related office experience

·         2+ years customer service experience

·         Bilingual in English and Spanish a MUST

·         Notary a plus
