JOB DESCRIPTION
- FULL-TIME

The primary responsibility of this job is to provide administrative and secretarial support for the Chair and faculty of the Department of Computing and Mathematics.

RESPONSIBILITIES
  • Assists students and department majors with schedules; assigning advisors; informing of upcoming events; submitting forms and other various requests.
  • Oversee the revision of syllabi in a timely manner. Assist the department professors as needed in this project; Maintain syllabi files, both current and past. Uploads syllabi online.
  • Assists the department chair with submitting and tracking various forms involved with hiring department faculty.
  • Send/receive and distribute materials sent to the copy center.
  • Keep the department instructors advised of upcoming deadlines and assist them in whatever manner necessary.
  • Provide for the day-to-day smooth operation of the department.
  • Maintains office supply inventory, reorders as needed.
  • Process and track purchase order requisitions
  • Assists in processing room reservations for faculty in EMS program
  • Submits maintenance work orders
  • Reconcile month budget (encumbrance) reports and keeps spreadsheet
  • Runs and enters information into various spreadsheets
  • Manages Late Exam Fees; occasionally proctors exams
  • Prepare Faculty Load, Sharing & Overload Reports
  • Assist the Department Chair in the publishing and editing of the annual department newsletter.
  • Compose correspondence
  • Prepare monthly department meeting agendas and takes and transcribe minutes.
  • Hires; supervises; directs work; corrects electronic timecards for student workers
  • Answer phones, greets visitors; provides information and assistance; takes messages; refers to appropriate personnel.
  • Makes copies run errands
  • Sorts and distributes mail
  • Assist students, secretaries, and others when necessary.
  • Assist with meetings, i.e., organize and prepares refreshments as needed
  • Main coordinator for the annual Hooding Ceremony and all it entails.
  • Minor housekeeping duties.
REQUIREMENTS

KNOWLEDGE & EXPERIENCE:

  • Requires a high school diploma or GED. College level courses helpful.

SKILLS & ABILITIES:

  • Must be proficient in Microsoft Word and Excel and knowledgeable of computer hardware and software. Requires excellent keyboarding skills.
  • Requires three years of secretary or five years clerical experience.
  • Must be able to compose correspondence and take minutes.
  • Must be creative and resourceful.
  • Must exhibit and maintain confidentiality.
  • Must possess the ability to recognize needs and implement changes when needed.
  • Must exhibit the ability to complete comprehensive projects with minimal supervision.
