Position Overview
The Administrative Assistant - Investment Services performs a wide variety of administrative support duties for the Wealth Management Operations Manager, Assistant Manager Investment Services and Vice President. Position entails heavy phones, customer contact and other support functions. Deals with confidential and sensitive documentation regarding client accounts. Interacts with bank associates, various personnel for the Broker Dealer insurance companies and department vendors. Handles questions and paperwork from clients and Financial Advisors, is the key person for uploading documents into the Broker Dealer system. Prepares various reports for the Operations Manager and Vice President. Performs other duties and assignments as needed.
Role and Responsibilities
  • Provide administrative support to the Financial Advisors on all accounts
  • Perform client maintenance for accounts
  • Perform various support duties such as answering phones, copying documents, preparing overnight or express mail forms, etc.
  • Assist with assigned Client Events
  • Contact and follow up with clients on paperwork and needed documents
  • Performs routine tasks independently
  • Assist with necessary expense and internal reporting
  • Initiate licensing process for SIE, S7, S66 & Life/Health Insurance Licenses

Minimum Qualifications
  • High School Diploma or equivalent
  • Administrative experience is preferred but not required
  • Advanced proficiency with Microsoft Word, Excel, PowerPoint and Internet Explorer
  • Problem solving skills, motivated self-starter, energetic, organized and detail oriented
  • Excellent written and verbal communication skills
  • Excellent customer service skills
  • Innovative and ability to multi-task
