Job Title: Assistant Project ManagerJob Description

The Assistant Project Manager supports the CT Operations team in planning, coordinating, and delivering roadway safety and pavement marking projects across the region. This role focuses on project coordination, documentation, scheduling, and financial tracking to help ensure projects run safely, efficiently, and on time. You will work closely with Project Managers, field operations, and office staff to keep projects organized, information flowing, and stakeholders informed.

Responsibilities
  • Support Project Managers in coordinating crews, equipment, materials, and daily work plans for roadway safety and pavement marking projects.
  • Maintain organized project files and manage the flow of information across teams, including document control for RFIs, change orders, and other project records.
  • Assist with building, updating, and monitoring project schedules, ensuring alignment with field operations and project milestones.
  • Use project management and scheduling software accurately and consistently to track progress, resources, and timelines.
  • Analyze project data to identify issues, track performance, and recommend process or operational improvements.
  • Help manage project financials, including tracking costs, preparing and reviewing estimates, and supporting invoice preparation and processing.
  • Assist with financial reporting and support the use of tools such as Sage or similar systems to maintain accurate project financial records.
  • Perform administrative and tracking tasks to keep projects organized, including documentation, status updates, and follow-ups with internal and external stakeholders.
  • Support project closeout activities, including final reporting, documentation, and ensuring all records are complete and properly archived.
  • Communicate project progress, issues, and updates regularly to the Project Manager and relevant team members.
  • Collaborate with field operations and construction teams to align project schedules and resources with on-site activities.
  • Contribute to continuous improvement efforts by identifying opportunities to streamline processes, improve documentation, and enhance project coordination.
Essential Skills
  • At least 3 years of experience as an Assistant Project Manager or in a closely related project coordination role.
  • Bachelor’s degree required or strongly preferred.
  • Experience in construction, civil, or construction-adjacent environments, particularly related to roadway operations or field-based project work.
  • Hands-on project management experience, including coordination of field operations, scheduling, and document control.
  • Proficiency with project management software and scheduling tools.
  • Strong administrative and documentation skills, with attention to detail and accuracy.
  • Experience with RFIs, change orders, invoicing, and basic project financial tracking and reporting.
  • Proficiency with Microsoft Excel, Microsoft Teams, and the broader Microsoft Office suite.
  • Ability to manage multiple priorities in a fast-paced, seasonally driven environment.
  • Proactive, problem-solving mindset with the ability to anticipate needs and resolve issues independently.
  • Strong communication and interpersonal skills, with the ability to work effectively with field and office teams.
  • Scheduling management experience, including coordination of resources, timelines, and milestones.
  • Familiarity with DOT-related work, civil projects, or similar regulatory environments.
  • Experience using financial or construction management tools such as Sage or comparable systems.

Work Environment

This is a full-time, in-person role based within the CT Operations team, supporting roadway safety and pavement marking projects across the region. The position follows a seasonal schedule: during the off-season (January–March), you typically work around 40 hours per week, while the in-season period (March–December) involves 40+ hours per week with required overtime to support busy field operations. Core hours are 8:00 AM to 6:00 PM, Monday through Friday. You will work closely with both office and field staff, using tools such as project management software, Microsoft Excel, Microsoft Teams, Microsoft Office, and financial systems like Sage to coordinate schedules, documentation, and financials. Pay and Benefits
