Job description

Position Summary
TheRecruiting Coordinatorprovides administrative and operational support for recruitment activities across the organization nationwide. This role serves as the primary coordinator for the Applicant Tracking System (ATS), candidate scheduling, job postings, hiring manager access, candidate communications, recruitment reporting, and onboarding initiation.
The Recruiting Coordinator helps ensure candidates and hiring managers have a smooth, timely, and professional experience throughout the recruiting process. The ideal candidate is highly organized, responsive, comfortable working across multiple systems, and able to manage a high volume of recruiting activities while maintaining accurate records and strong follow-through.
Essential Duties & Responsibilities
Applicant Tracking System & Recruiting Operations
  • Serve as the primary coordinator and day-to-day administrator for the Applicant Tracking System (ATS).
  • Maintain accurate candidate, requisition, and hiring information within the ATS.
  • Create, update, and close job requisitions and postings as needed.
  • Provision hiring managers and other appropriate users with ATS access and provide basic system guidance and support.
  • Monitor recruiting workflows to ensure candidates are progressing appropriately through each stage of the hiring process.
  • Identify incomplete applications, outstanding steps, or system issues and coordinate follow-up.
  • Maintain organized and accurate recruiting records and documentation.
Job Postings & Recruitment Advertising
  • Post approved positions to the Companys career site and appropriate external job boards.
  • Assist with drafting, formatting, and maintaining job descriptions and job advertisements.
  • Ensure job postings are accurate, consistent, professional, and aligned with approved position requirements.
  • Monitor active and paid job advertisements.
  • Close paid job postings promptly when positions are filled, paused, or no longer require advertising to avoid unnecessary recruiting expenses.
  • Assist recruiters and hiring managers with job fairs, hiring events, and other recruitment initiatives.
  • Support nationwide recruitment efforts based on hiring needs and business priorities.
Candidate Coordination & Outreach
  • Conduct candidate outreach through phone, email, text, and approved recruiting platforms.
  • Schedule and coordinate candidate interviews with recruiters and hiring managers.
  • Manage interview calendars, confirmations, rescheduling, and candidate communications.
  • Provide candidates with timely instructions and updates throughout the recruiting process.
  • Follow up with candidates regarding incomplete applications or outstanding hiring requirements.
  • Maintain a professional and positive candidate experience from initial contact through onboarding handoff.
Hiring Manager Support
  • Coordinate with hiring managers regarding open positions, interview availability, candidate status, and recruiting needs.
  • Ensure hiring managers have appropriate system access and understand the recruiting workflow.
  • Assist hiring managers with scheduling and administrative recruiting needs.
  • Help maintain timely communication between candidates, recruiters, and hiring managers.
  • Escalate delays, outstanding actions, or process concerns when necessary.
Recruitment Reporting & Analytics
  • Prepare and distribute recruiting reports as requested.
  • Monitor and tracksource of hireto help evaluate recruiting channel effectiveness.
  • Track recruiting activity, open requisitions, candidate volume, interview activity, hires, and other key recruiting metrics.
  • Assist with identifying trends in recruitment sources and job board effectiveness.
  • Support recruiting leadership with data needed to evaluate hiring activity and recruitment spending.
  • Maintain accurate ATS data to ensure reporting is complete and reliable.
Onboarding Initiation
  • Initiate the onboarding process once a candidate has been approved for hire.
  • Ensure required candidate and hiring information is complete before transitioning the candidate into onboarding.
  • Coordinate with HR, hiring managers, recruiters, and other appropriate stakeholders to support a smooth transition from candidate to new hire.
  • Follow up on outstanding pre-employment or onboarding requirements as assigned.
  • Ensure appropriate recruiting documentation is maintained and the requisition is properly closed following a successful hire.
Additional Responsibilities
  • Assist with nationwide recruiting projects, hiring initiatives, and process improvements.
  • Support job fairs, recruiting events, hiring campaigns, and high-volume hiring efforts.
  • Help maintain recruiting templates, communications, job descriptions, and standard operating procedures.
  • Provide general administrative support to the Talent Acquisition and Human Resources teams as needed.
  • Identify opportunities to improve recruiting workflows, candidate communication, system utilization, and operational efficiency.
  • Perform other duties as assigned.
Qualifications
  • High school diploma or equivalent required; associate or bachelors degree in Human Resources, Business Administration, or a related field preferred.
  • Previous recruiting, HR, staffing, administrative, or coordination experience preferred.
  • Experience working with an Applicant Tracking System strongly preferred.
  • Experience coordinating calendars and scheduling interviews across multiple stakeholders preferred.
  • Strong proficiency with Microsoft Office, Google Workspace, or similar business applications.
  • Ability to learn and navigate recruiting technology, job boards, and HR systems quickly.
