Job description

Secretary III

The Secretary III provides advanced secretarial services and skill for the Gila River Indian Community by maintaining an efficient records system, typing reports, completing forms, answering telephones and performing other key office procedures; requires little supervision when assigned new duties. This position is distinguished from Secretary II by greater participation in office management, more varied work assignments and greater independence in which assignments are performed.

Essential functions include:

  • Assist in maintenance of confidential files, equipment inventory and reference documents.
  • Arrange and coordinate travel related arrangements including reservations, itineraries, travel authorization requests and travel vouchers.
  • Type and distribute correspondence, records and reports from drafts, oral instructions or clear copy.
  • Maintain inventory of office supplies and equipment; order supplies as needed.
  • Maintain records of incoming correspondence and action documents; follow-up on work in process to ensure timely reply or action.
  • Perform other related duties as assigned.

Required knowledge, skill and ability include:

  • Knowledge of proper business English, spelling, grammar, and basic arithmetic such as addition, subtraction, multiplication and division.
  • Knowledge of office practices, procedures, and equipment operations.
  • Working knowledge in use of office equipment including computers with some experience in Word, Excel, etc.
  • Ability to do arithmetic calculations and prepare varied documents accurately and quickly.
  • Ability to perform clerical tasks tactfully and apply learned skills to new work situations.
  • Ability to establish and maintain effective working relationships with other employees, Community Officials and the public.
  • Ability to understand and follow verbal and written instructions.
  • Ability to maintain accurate records and prepare reports.
  • Ability to perform all physical requirements of the position; agree to maintain a Drug-free workplace.

Required education/experience:

High School diploma or GED and a minimum of three (3) years secretarial experience performing general clerical duties in an office setting which includes office software and use of modern equipment.

  • Required to obtain a Tribal Operator's permit. Valid state driver's license with a current proof of driving record for the past 39 months will be required to qualify for a tribal driving permit. Proof of driving record must be submitted with application and must not be more than 60 days old from the date of submission of the application.
