PART-TIME ADMINISTRATIVE ASSISTANT - FIRE DEPARTMENT
CLOSING DATE: August 3, 2026
PAY RANGE: $18.00-20.00 per hour depending on experience and qualifications
SCHEDULE: Monday - Thursday 1pm to 6pm
DEPARTMENT: Fire
JOB SUMMARY
The Lehi City Fire Department is seeking a highly organized, professional, and customer-focused part-time Administrative Assistant to support the daily operations of the department. This position serves as the first point of contact for the public and department personnel.
This position serves as a key member of the department's administrative team. The ideal candidate is detail-oriented, dependable, adaptable, and able to manage multiple priorities in a fast-paced environment.
RESPONSIBILITIES AND QUALIFICATIONS
Job Summary and Responsibilities
  • Serve as the first point of contact for the public by professionally answering incoming phone calls, greeting visitors, and providing courteous, accurate assistance in person and over the phone.
  • Assist with scheduling community events, station tours, maintaining calendars, and organizing department records.
  • Plan, coordinate, and execute department events, including promotional ceremonies, award ceremonies, retirement celebrations, banquets, and other special department functions.
  • Serve as the department's Quartermaster by coordinating uniform ordering, inventory, distribution, and recordkeeping.
  • Maintain and update confidential personnel files and department records.
  • Support command staff with administrative tasks as needed.
  • Ensure records are accurate, organized, and maintained in accordance with department policies and applicable record retention requirements.
  • Manage and update the department's social media platforms with department news, events, public safety information, and community outreach.
  • Provide administrative coverage for the Senior Administrative Assistant during vacations, leave, and other absences by managing full-day daily office operations.
  • Perform other administrative duties and special assignments as assigned.

Minimum Qualifications
  • High school diploma or equivalent required; associate's degree or related coursework preferred.
  • Two (2) years of previous administrative or office support experience preferred.
  • Strong customer service and interpersonal skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Preferred experience with Microsoft SharePoint and other Microsoft 365 applications, databases, and collaborative tools.
  • Ability to quickly learn department-specific software and procedures.
  • Ability to work independently while collaborating effectively with department leadership and staff.
  • Ability to communicate effectively with employees, elected officials, vendors, and members of the public.
  • Must be able to work in a dynamic work environment and multitask.
  • Must possess a current, valid Driver's License and have a good driving record.
  • The successful candidate will be required to pass a pre-employment drug screen and will be subject to random drug testing.
  • Preference will be given to current qualified Lehi City Employees.

Physical Requirements
  • Occasionally lift and carry office supplies, uniform boxes, and event materials weighing up to 25 pounds.
