Position Overview

VIVÂMEE Hospitality is seeking a highly organized, creative, and service-driven Event Manager to join our team at Bohemia Manor Farm. This role is responsible for planning, coordinating, and executing exceptional weddings, corporate events, and social gatherings.

The ideal candidate is detail-oriented, guest-focused, and thrives in a fast-paced hospitality environment while delivering memorable, high-quality experiences.

Key Responsibilities

Event Planning & Client Management

  • Serve as primary contact for clients throughout the planning process
  • Conduct consultations to understand event vision, goals, and budget
  • Plan, design, and manage weddings, corporate events, and special occasions from concept to execution
  • Assist clients with venue selection and coordinate site visits
  • Develop, manage, and track event budgets to ensure financial targets are met
  • Create detailed event timelines and ensure milestone completion

Event Execution & Operations

  • Execute all aspects of Banquet Event Orders (BEOs), including setup and breakdown
  • Oversee event-day operations to ensure seamless delivery and client satisfaction
  • Conduct pre-event inspections of function spaces to ensure proper setup and cleanliness
  • Manage logistics including seating, décor, transportation, and accommodations
  • Lead post-event breakdown, cleaning, and equipment reset

Event Quality & Guest Experience

  • Deliver exceptional guest service with a strong attention to detail and design
  • Proactively engage with guests to ensure needs are met and exceeded
  • Ensure a polished and professional environment aligned with brand standards
  • Conduct post-event follow-ups with clients to gather feedback and measure success

Staff Leadership & Management

  • Assign and oversee front-of-house (FOH) team responsibilities
  • Staff events according to company service ratios
  • Interview, select, train, and evaluate captains, servers, bartenders, and setup teams
  • Ensure team adherence to grooming and dress standards
  • Lead steps of service and ensure readiness of all staff prior to events

Vendor & Logistics Coordination

  • Source, negotiate, and manage vendor relationships (florists, photographers, catering partners, etc.)
  • Coordinate all external services to align with client expectations and budget
  • Troubleshoot and resolve issues quickly and effectively during planning and execution

Operational Excellence

  • Maintain inventory of smallwares and event equipment
  • Coordinate ordering and replenishment of supplies as needed
  • Attend weekly BEO meetings to review upcoming events and proactively resolve issues

Qualifications

  • 2–5+ years of event management, hospitality, or related experience
  • Proven experience executing weddings and large-scale events preferred
  • Strong organizational, multitasking, and time management skills
  • Excellent communication and interpersonal abilities
  • Ability to lead teams and manage high-pressure event environments
  • Proficiency in event planning systems and Microsoft Office Suite
  • Flexibility to work evenings, weekends, and holidays as required
