The Administrative Assistant performs administrative and office support activities. Deals with a diverse group of important external callers and visitors, as well as internal staff at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.

What does the Administrative Assistant do at SpecSys?

  • Independently able to create presentations using PowerPoint once data is handed off.
  • Respond professionally and timely to all emails and phone calls.
  • Maintain confidential and sensitive business, financial, personnel, and legal information with the highest level of discretion.
  • Serve as a liaison between executives, employees, customers, vendors, and business partners while fostering professional relationships.
  • Assist with special projects, research, data collection, and report preparation as directed by executive leadership and independently create excel files from raw data.
  • Support office operations by coordinating supplies, services, and administrative processes as needed.
  • Assist with client sourcing and marketing campaigns online and via social media.
  • Process and perform data entry to maintain accurate electronic and paper filing systems.
  • Maintain organized records and ensure documents are complete, accurate, and readily accessible.
  • Assist with printing, sorting, and filing projects, both routine and ad hoc.
