Responsibilities:
  • Provide comprehensive administrative support for the office (e.g. obtain supplies, plan/prepare/close for office events, set up new physical and virtual files, execute office related tasks as needed)  

  • Process incoming/outgoing online and physical mail 

  • File, scan, and copy documents and maintain an organized file system  

  • Serve as receptionist managing in-person and telephonic clients/visitors 

  • Schedule client appointments  

  • Greet visitors and clients in a professional and welcoming manner 

  • Set up and close physical and electronic files 

  • Manage calls from clients and prospective clients seeking information  

  • Provide translation and interpreting services as needed 

  • Manage high volumes of client communication with care and efficiency 

  • Additional duties and special projects as assigned by Supervisor  


Qualifications:
  • Ability to communicate with written/oral professional-level fluency in both English and Spanish, enhancing client interactions and document translations

  • Strong written, phone, and interpersonal communication skills

    Strong organizational skills to maintain accurate and confidential client files

  • Ability to assist in scheduling and preparing documents for attorneys and case managers

  • Experience in facilitating communication between clients and legal staff, improving client experiences

  • Proactive, collaborative, and detail-oriented

  • Demonstrated effective problem-solving and issue-resolution skills

  • Works well under pressure while maintaining professional phone and in-person etiquette 

  • Professional and courteous; positive attitude; punctual
