Job description

We are looking for a detail-oriented Legal Secretary to provide dedicated support to the legal team in Maryville, Tennessee. This Long-term Contract position offers the opportunity to work closely with senior legal leadership in a dynamic manufacturing environment while managing a wide range of legal and administrative activities. The ideal candidate is highly organized, exercises sound judgment with sensitive information, and can balance competing priorities with minimal supervision.


Responsibilities:

• Provide day-to-day administrative assistance to senior legal leadership and contribute to the efficient operation of the legal department.

• Prepare, format, review, and organize legal documents, correspondence, and related records for accuracy and timely distribution.

• Manage calendars, schedule meetings, and coordinate deadlines to help keep legal matters and department priorities on track.

• Support litigation activities by assisting with electronic discovery, document preservation efforts, and the maintenance of case-related records.

• Maintain secure and well-organized filing systems for confidential legal materials, ensuring documents are accessible and properly tracked.

• Assist with invoice processing, budget coordination, and expense monitoring for legal department activities.

• Partner with internal teams on legal projects, administrative initiatives, and process improvements that strengthen departmental efficiency.

• Help oversee records retention and compliance-related documentation practices in alignment with organizational requirements.

• Communicate professionally with internal stakeholders and external contacts while handling sensitive matters with discretion.

• Associate’s degree in Business or a related discipline is required.
• At least 2 years of experience in a legal department, law firm, or comparable legal services environment.
• Demonstrated background in legal administrative support, including document preparation, correspondence, and calendar coordination.
• Familiarity with litigation support activities such as eDiscovery, litigation holds, court filings, or records management is strongly preferred.
• Proficiency with Microsoft Office applications and experience using legal or document management systems is preferred.
• Strong written and verbal communication skills with the ability to interact effectively across teams and with outside parties.
• Excellent organizational skills, close attention to detail, and the ability to manage confidential information responsibly.
• Ability to work independently, adapt quickly, and remain effective in a fast-paced, high-volume setting.
