Administrative Assistant - Quality Department
**THIS IS AN ON-SITE POSITION**
Position Summary
The Administrative Assistant - Quality Department provides day-to-day administrative support to the Quality department. This role helps keep quality records, controlled documents, engineering changes, corrective actions, and audit activities organized, up to date, and processed in line with company procedures and applicable regulatory requirements.
Primary Responsibilities
- Support document control processes, including preparing, filing, and routing procedures, work instructions, forms, specifications, and other controlled documents for review, approval, and release.
- Help track and process Engineering Change Requests (ECRs) and Engineering Change Notices (ECNs), following up to ensure proper documentation, review, and approvals are completed.
- Assist with Corrective and Preventive Action (CAPA) records, including monitoring due dates and following up with owners on outstanding items.
- Help prepare audit schedules, agendas, and supporting documentation, and assist with coordinating logistics for internal and external audits.
- Distribute audit findings and follow up with responsible parties to track completion and closure of corrective actions.
- Compile quality system reports and data to support management review and continuous improvement initiatives.
- Perform general administrative tasks and other duties as assigned by department leadership.
Qualifications & Skills
- Prior administrative or clerical experience required; experience in a quality, manufacturing, or regulated environment is a plus.
- Strong computer skills with proficiency in Microsoft Office and database-driven software systems.
- Quick learner with the ability to rapidly understand new software applications and business processes.
- Strong attention to detail, organizational skills, and record accuracy.
- Ability to juggle high-priority tasks timely, efficiently, and accurately, including handling strict, time-sensitive materials and deadlines.
- Self-motivated with the ability to take ownership of responsibilities and work independently with minimal supervision.
- Basic understanding of controlled documents, revision control, document hierarchies, and structured databases is a plus.
- Strong written and verbal communication skills.
