Job description

As part of the Waverly Business Services team, the Tax Assistant provides administrative and clerical support to our tax professionals, helping to prepare and manage documentation for clients including high-net-worth individuals, families, trusts, and closely-held businesses.  

A successful candidate will have the ability to effectively communicate with cross-functional team members, demonstrate critical attention to detail, exhibit a positive attitude, and possess willingness to learn. Organizational skills, resiliency and flexibility, and promptness are necessary in all tasks and responsibilities.  

Tax Assistant Responsibilities: 

  • Answer phone calls and greet clients, as needed. 
  • Assist in the collection, organization, and tracking of tax and accounting documents from clients. 
  • Support the training and oversight of interns providing administrative tax support during busy season.   
  • Assemble individual, trust, estate, and entity tax return packages for client review and filing. 
  • Manage tax return e-filing processes. 
  • Maintain and update internal databases, workflows, and client tax records. 
  • Support the preparation of tax extensions. 
  • Draft and send client correspondence related to document requests, deadlines, or tax notices. 
  • File and scan client documents to ensure electronic records are complete and secure and in accordance with firm policies. 
  • Coordinate with and support other departments (CSAs, financial planning, operations, billing) as needed to support client services. 
  • Assist Controller with billing functions, as directed. 

Required Qualifications and Skills:  

  • Previous experience in tax, accounting, financial services, or administrative support preferred. 
  • Basic understanding of tax forms and filing requirements is a plus. 
  • Proficiency in Microsoft Office Suite. 
  • Strong attention to detail and organizational skills. 
  • Ability to handle confidential client information with discretion. 
  • Excellent communication and time-management skills. 
  • A proactive, service-oriented mindset and a commitment to continuous learning. 

Physical Requirements:  

  • Prolonged periods of sitting at a desk and working on a computer 
  • Must be able to lift 15 pounds at times
