Receptionist, Contractor

As the Receptionist/Administrative Assistant sitting in our corporate headquarters located in New Haven, CT, you will play a critical role in supporting the day-to-day operations through handling various administrative tasks. This position will report to the HR Manager. This temporary position covering a leave.

What you will be doing:

  • Greet and welcome visitors in a professional friendly manner.
  • Answer, screen, and forward all incoming calls.
  • Provide general clerical support, including mailing, scanning, faxing, and copying.
  • Schedule appointments, meetings, and conference calls.
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
  • Handle incoming and outgoing mail packages.
  • Address and resolve customer inquiries and issues promptly.
  • Provide information to clients and visitors regarding company services and procedures.
  • Perform data entry tasks and update records accurately.
  • Assist other departments as needed with various projects and tasks.
  • Provide support to the General Manager, Process Improvement Team, and Profit Center Managers by organizing and updating data while handling special projects as required.
  • Partner in onboarding initiatives: document compilation, background check initiation, electronic record maintenance, while assisting with new hire orientations.
  • Facilitate companywide employee engagement initiatives, which includes meeting room and vendor bookings along with coordinating various cultural events.

What we are looking for:

  • Bachelor of Science or Bachelor of Arts Degree.
  • Candidates should possess a minimum of 1 year of experience in an administrative support role. We will consider entry level applicants who have demonstrated relevant internship experience.
  • Must be well versed in using MSFT Office Suite: Word, PowerPoint and Excel.
  • Strong analytical, communication and team management skills.
  • Sounds judgment in selecting methods and/or techniques for obtaining solutions for diverse assignments.
  • Ability to handle multiple projects simultaneously.
  • Aptitude to work with all levels of management and cross-functional teams.
  • Handle sensitive information with confidentiality.
