Job Description Executive Administrative Assistant Location: Houston, TX Work Arrangement: 100% Onsite - 5 days per week Contract Length: 3 Months Schedule: Monday-Friday, 7:00 AM-4:00 PM Employment Type: Contract Rate: to $35/hr Position Summary We are seeking an experienced and highly professional Executive Administrative Assistant III to provide high-level administrative, executive floor, and office operations support within a large corporate environment. This role requires a polished professional with 8+ years of executive-level administrative experience, including experience supporting senior executives or C-suite leadership. The ideal candidate will have exceptional organizational and communication skills, the ability to manage multiple priorities, and experience operating in a highly confidential and security-conscious corporate setting.

This is a fully onsite position in downtown Houston. Key Responsibilities Provide executive-level administrative and operational support in a high-profile corporate office environment. Manage conference room bookings, floor activities, and executive meeting logistics.

Control access to a secured executive floor and oversee visitor management processes. Follow enhanced security and confidentiality protocols. Support multiple executive assistants and provide relief coverage for senior executive desks as needed.

Maintain executive areas, conference rooms, floor common areas, and related office resources. Coordinate conference room setup, catering, and logistics for high-level meetings and events. Handle incoming and outgoing mail, distributions, and related administrative activities.

Submit and track floor maintenance and facilities requests. Maintain floor plans, distribution lists, and other administrative documentation. Assist with planning and supporting executive-level events and meetings.

Coordinate with catering, maintenance, and other vendors regarding services, events, and repairs. Provide basic troubleshooting support for conference room AV and technology equipment. Support emergency preparedness activities and follow building safety protocols during drills or incidents.

Manage sensitive and confidential information with discretion and professionalism. Adapt quickly to changing priorities and support urgent executive and business needs. Required Qualifications 8+ years of administrative or executive support experience.

Experience supporting senior executives, executive leadership, or C-suite leaders. Experience working in a large corporate office environment. Strong organizational, prioritization, and multitasking skills.

Excellent verbal and written communication skills. Strong proficiency with Microsoft Office Suite. Experience with conference room scheduling and visitor management systems.

Ability to maintain confidentiality and handle sensitive information. Strong customer service skills and a highly professional demeanor. Ability to work independently, exercise sound judgment, and know when to escalate or ask for assistance.

Ability to work effectively under pressure and manage changing priorities. Preferred Qualifications Experience supporting C-suite executives in a large enterprise environment. Oil and gas industry experience.

Experience with executive office operations and high-level event coordination. Experience with secured corporate office environments and enhanced security protocols. Familiarity with Microsoft Copilot or other AI productivity tools.

Interest in learning and applying emerging digital and AI tools. Experience supporting senior executive communications and high-profile stakeholders. Basic AV/conference room technology troubleshooting experience.

Strong leadership, initiative, and problem-solving abilities.
