Role Overview:

Are you passionate about live events and the entertainment industry? We are seeking a dynamic Booking Assistant to support our Booking Team in a variety of administrative and operational tasks. This role is crucial to ensuring the smooth execution of events and maintaining strong relationships within the live event industry. If you thrive in a fast-paced environment and are excited about contributing to our teamโ€™s success, we would love to hear from you! This position is not remote and will require you to work in the office full-time.


Responsibilities:

  • Administrative Support: Assist the booking department with day-to-day administrative tasks, including managing schedules, maintaining the confirmation grid for all events, and coordinating between departments.
  • Market Research: Identify and research potential target markets for shows, keeping up with industry trends.
  • Event Coordination: Facilitate the booking process by managing venue calendars, confirming dates, and handling communications with venues and buyers.
  • Contract Management: Aid in processing and administering venue contracts, artist agreements, and co-promote contracts.
  • Financial Management: Assist in financial arrangements for events, including handling deposits, settlements, tracking expenditures, and managing a budget.
  • Documentation: Compile and maintain event show folders with essential documents such as contracts, Certificates of Insurance, and final settlement information.
  • Event Coverage: Provide on-site support during events as needed, ensuring everything runs smoothly and addressing any issues that arise.
  • Artist Relations: Build and manage artist deal sheets, submit offers to agencies/management, and research artist history across various platforms.
  • Additional Tasks: Handle other duties as assigned, demonstrating flexibility and a willingness to support various aspects of the booking process.


Qualifications:

  • Communication Skills: Excellent verbal and written communication skills, professional phone etiquette, and proficiency in Microsoft Word, Excel, Google Suite, and Dropbox.
  • Technical Proficiency: Familiarity with Adobe Photoshop or similar image editing programs is a plus.
  • Industry Experience: Experience in the comedy industry or talent agencies is highly preferred, but not required.
  • Interpersonal Skills: Ability to engage positively with colleagues, executives, and industry professionals. Demonstrated skills in organization, problem-solving, prioritization, and handling potentially challenging situations with tact.
  • Detail-Organized: Strong attention to detail with the ability to manage multiple tasks, stay organized, and handle last-minute projects effectively.
