Job description

St. Joseph Shrine in Brooklyn is seeking a part-time Administrative Assistant. This is a non-exempt position that reports to the pastor.
General Summary: This position assists with the ministry of the parish by supporting the various administrative functions of the parish, especially those pertaining to the main office. The employee directs these efforts with technical expertise within a framework of shared ministry and Catholic values.
Principal Duties and Responsibilities
A. Office Aide:

  1. Cover basic office responsibilities, including:
    1. Answering the phone.
    2. Greeting & helping visitors.
    3. Scheduling Mass intentions.
    4. Dispatching general office duties, especially the coordination and filing of bills and various other office-related documents.
    5. Facilitating intra-staff communication and scheduling, particularly through Google Calendar.
    6. Unlocking/locking church & facilitating group visits and parish events.
    7. Processing cemetery sales & setting up burials.
    8. Helping with the bulletin, if needed.
  2. Process and record donations and charitable contributions.
  3. Help with special projects (parish directory, updating records, etc.).
B. Liturgical Aide:
  1. As needed, assist with ...
    1. Visiting priests.
    2. Weddings and funerals.

Knowledge, Skills, and Abilities
Education:
College graduate or equivalent.
Experience:
  • Minimum of two years of experience working in an office. (Preference will be shown to those with Catholic parish office experience.)
  • Knowledge of Microsoft Word, Excel, & Publisher.
  • Knowledge of, or ability to train readily in, Google Docs.
  • Facility with websites and social media.

Require:
Must have: (1) an understanding of Catholic parish organization and functioning; (2) an ability to communicate well, peaceably, and patiently; (3) a skill of maintaining confidentiality; (4) willingness to train on Church-specific skills, like selling cemetery plots and keeping sacramental records.
Physical Demands:
While performing duties, employee has to sit for long periods of time, use hands in repetitive motion tasks, and answer telephone calls. The position also requires some standing, stooping, and bending while filing. Employee is expected to work onsite on a "as needed" basis, with minimal travel.
