Job description

Role Summary

Free People is looking for an Executive Assistant to support an executive with their day to day and support some of the teams around them. A strong foundation in executive support, a proactive attitude and the ability to manage constantly shifting priorities and calendars is required. The individual must have a self-directed, solutions-oriented mindset, with the ability to manage their time and prioritize assignments efficiently. 

A variety of administrative duties will be performed specifically: organizing multiple complex calendars and prioritizing conflicts throughout the day, planning travel (domestic and international), processing expenses, managing meeting rooms, working with outside vendors and maintaining confidential information.  

Role Responsibilities
  • Manage complex calendars and coordinate meetings.

  • Plan travel (domestic & international flights, hotels, and car transportation).

  • Process expenses and ensure appropriate spending and allocation based on the most recent URBN Travel and Expense Policy.

  • Prepare, edit, review PowerPoint slide decks.

  • Coordinate and support Brand meetings with other Executive Assistants, Building Administrator, Catering team, and Navy Yard Operations team for events. (all company meetings, special presentations etc)

  • Building strong relationships with cross functional teams and external stakeholders.

  • Being resourceful in fast-paced environments and adapting quickly to evolving priorities.

  • Ensuring smooth day-to-day operations to allow executives to focus their day on their strategic priorities.

  • Help manage the building (coordinate building problems and needs w/ facilities team, schedule labor etc.)
