Amazon MGM Studios is seeking a highly organized, detail-oriented, and proactive Executive Assistant to support two senior executives - the Head of Global Theatrical PR and the Head of Movies PR - across two distinct PR business streams

This role is the operational backbone for leaders managing a growing theatrical slate and a high-volume movies PR function, requiring exceptional judgment, discretion, and the ability to manage competing priorities in a fast-paced, multi-stakeholder environment.
The ideal candidate thrives in complexity - anticipating needs, solving problems before they surface, and ensuring that two busy executives can operate at their highest level. This person brings elite organizational skills, strong communication instincts, and the ability to move seamlessly between strategic support and tactical execution. Familiarity with AI tools and a forward-thinking approach to workflow efficiency are essential.
This role reports to the Head of Global Theatrical PR and Head of Worldwide Movies PR.
Key job responsibilities
- Manage complex, high-volume calendars for two senior executives across multiple time zones
- Coordinate and schedule internal and external meetings including filmmaker sessions, agency check-ins, leadership reviews, cross-functional syncs, and campaign kick-offs - preparing agendas and tracking action items
- Serve as a primary point of contact for internal and external stakeholders on behalf of both executives, exercising professionalism and discretion in all communications
- Coordinate communication with talent representatives, filmmakers, agency partners, and cross-functional teams on behalf of leadership - managing scheduling requests and ongoing logistical correspondence
- Handle confidential and sensitive information with the highest degree of discretion and sound judgment
- Build, maintain, and organize shared documents, trackers, team calendars, filing systems, and contact lists
- Process and track invoices, purchase orders, and financial documentation related to both PR functions - maintaining budget trackers and flagging variances to leadership
- Support onboarding of new vendors, and agency partners - managing logistics, system access, required documentation, and orientation materials
- Identify opportunities to streamline recurring workflows and implement process improvements using AI tools and technology
- Provide logistical and administrative support for team-wide events, screenings, and internal presentations
- Serve as a reliable, steady presence for the broader team - modeling professionalism and positivity
