We are seeking a professional, detail-oriented Business Operations Administrator to support our growing team. This role plays a vital part in maintaining smooth office operations while helping improve administrative processes that support company-wide efficiency.

WHAT YOU WILL DO:

  • The Business Operations Administrator serves as the central coordination point for all administrative operations at the IND facility. This role ensures seamless day-to-day business functions including office management, HR coordination, facility support, purchasing, and administrative services. You will:
    • Serve as the primary administrative contact for the IND facility.
    • Manage reception activities including answering phones, greeting visitors, and coordinating guest access.
    • Maintain a professional and welcoming environment for employees, customers, and vendors.
    • Oversee office supplies, administrative equipment, and general workplace resources.
    • Coordinate onboarding logistics, new hire documentation, and orientation scheduling in partnership with corporate HR.
    • Support employee records administration and HR-related documentation.
    • Assist with recruiting logistics including interview scheduling, candidate coordination, and hiring support.
    • Coordinate facility maintenance, vendor services, and building-related requests.
    • Ensure readiness of conference rooms, meeting spaces, and employee work areas.
    • Support shipping/receiving paperwork and administrative purchasing activities.
    • Track office expenses and assist with purchase orders, invoices, and vendor communications.
    • Assist leadership with scheduling, travel coordination, and meeting preparation.
    • Maintain organized administrative records and support document control processes.
    • Support company events, training sessions, and employee engagement activities.
    • Maintain communication boards, postings, and internal notices.
    • Provide administrative support to production, engineering, and leadership teams.
    • Assist with safety and compliance documentation including visitor logs and training records.
    • Support internal projects, cross-site initiatives, and operational improvements as directed.
    • Perform additional duties as assigned.



WHAT YOU BRING:

  • You’ll thrive in this role if you bring:
    • 5 + years of experience in office management, administrative coordination, or business operations support.
    • Strong organizational and multitasking abilities with the capacity to manage competing priorities.
    • Excellent communication skills with the ability to interact professionally with employees, leadership, customers, and vendors.
    • Experience supporting HR-related administrative functions including onboarding and employee documentation.
    • Proficiency in Microsoft Office (Outlook, Excel, Word, Teams).
    • High level of discretion and ability to handle confidential information.
    • Strong attention to detail and commitment to organized systems and processes.
    • Ability to work independently while supporting a collaborative team environment.
    • Experience in aerospace, manufacturing, or technical environments preferred.
    • Experience supporting multi-site or growing organizations preferred.
