Assistant Coordinator – Pre-Apprenticeship/Apprenticeship Programs

Overview

Reporting to the Director of Education, the Assistant Apprenticeship Coordinator supports the daily administration of assigned registered apprenticeship programs while developing the knowledge and skills necessary to advance into an Apprenticeship Coordinator role. This position works closely with students, employers, instructors, and regulatory agencies to ensure apprenticeship records remain accurate, programs stay compliant with Florida Department of Education (FLDOE) and U.S. Department of Labor (DOL) requirements, and apprentices receive exceptional customer service throughout their educational journey.The ideal candidate is highly organized, customer-service oriented, and eager to grow into a leadershiprole within apprenticeship education. Bilingual (English/Spanish/Creole) is highly preferred.

Responsibilities

• Maintain accurate electronic and physical student records, document student activity in a timely manner, and support compliance with applicable standards, policies, and FLDOE and DOL requirements.
• Assist with monitoring monthly student work reports and follow up with apprentices and employers regarding missing or incomplete documentation.
• Assist in processing/preparing reports related to enrollment, attendance, apprentice progress, retention, and regulatory compliance.
• Respond promptly and professionally to student, employer, instructor, and partner inquiries, and follow up with apprentices and employers regarding missing documentation, absences, employment status, withdrawals, GPA, and retention concerns.
• Use apprenticeship management software to track records, program activities, enrollment, attendance, apprentice progress, retention, and regulatory compliance reports accurately.
• Assist in planning and coordinating orientations, graduation ceremonies, employer events, and other program activities.
• Create checklists and standard operating procedures that foster sustainability
• Assist instructors of assigned programs with completing instructor certifications and NCCER training.
• Assist with methods that encourage and strengthen student and employer retention in assigned programs, and perform other administrative duties as assigned.

Qualifications

• Minimum of two years of experience in administration, education, customer service, or a related field, and able to work with groups and work individually to achieve desired results.
• Keen attention to detail in the execution of daily activities.
• Excellent organizational, time-management, multitasking, and prioritization skills, with the ability to manage multiple projects and meet deadlines.
• Ability to organize and maintain student and employer records and files accurately and confidentially.
• Strong problem-solving and critical-thinking skills.
• Ability to learn and interpret apprenticeship regulations and policies.
• Ability to present information clearly in both verbal and written formats.
• Strong communicator with relationship-building skills, able to engage students and employers
• Basic understanding of Microsoft Office and ability to correspond professionally via email or phone.
• Experience working with education and non-profit organizations is preferred.
