Volunteer Executive Assistant

Animal House Project

Position Overview

Animal House Project is seeking a dedicated, organized, and mission-driven Volunteer Executive Assistant to provide administrative and operational support to the organization’s leadership team. This position may become a permanent paid position in the future.

This position plays a critical behind-the-scenes role in helping Animal House Project continue its mission of supporting vulnerable animals, rescue organizations, companion pet families, and disaster relief efforts. The Volunteer Executive Assistant helps keep day-to-day operations organized, communication flowing, projects moving, and leadership focused on expanding impact within the communities we serve.

This is an ideal opportunity for someone who enjoys organization, communication, multitasking, and being part of a fast-paced nonprofit environment where their work directly contributes to saving animal lives.

Key Responsibilities

Administrative Support

  • Assist with day-to-day administrative tasks
  • Help organize digital files, forms, spreadsheets, and records
  • Draft emails, letters, and documents as needed
  • Maintain organized volunteer and donor information
  • Help track deadlines, follow-ups, and ongoing projects

Communication & Coordination

  • Respond to general inquiries professionally and compassionately
  • Assist with volunteer communications and scheduling
  • Coordinate meetings, calls, and event logistics when needed
  • Help maintain internal communication between programs and volunteers

Event & Fundraising Support

  • Assist with fundraising campaigns and donor outreach
  • Help prepare materials for events, sponsorships, and community initiatives
  • Support planning efforts for signature fundraising events including golf tournaments, adoption events, and awareness campaigns
  • Assist with sponsorship follow-ups and thank-you correspondence

Social Media & Community Outreach Support

  • Help organize content, photos, and updates for social media platforms
  • Assist with outreach to community partners, sponsors, and donation locations
  • Support storytelling efforts that highlight the mission and impact of Animal House Project

Organizational Assistance

  • Help leadership stay organized and focused on priority initiatives
  • Assist with task management and project coordination
  • Support special projects as needed across multiple Animal House Project programs

Preferred Skills & Qualifications

  • Strong organizational and multitasking abilities
  • Professional communication skills (written and verbal)
  • Comfortable using email, spreadsheets, and online platforms
  • Ability to maintain confidentiality and professionalism
  • Detail-oriented and dependable
  • Self-motivated with the ability to work independently
  • Passion for animal welfare and nonprofit work

Prior administrative, nonprofit, fundraising, or executive support experience is helpful but not required.

Time Commitment
