Job description

Tom's Ford is seeking a Finance Manager Assistant/Admin Assistant to support our finance department and dealership office operations. This role combines administrative support with finance-related tasks, helping keep deals, paperwork, and daily office functions running smoothly.
Responsibilities
  • Assist the Finance Manager with deal paperwork, contracts, and documentation for vehicle sales
  • Prepare, organize, and file finance and title paperwork accurately and on time
  • Communicate with lenders, customers, and sales staff to track deal status and follow up on missing documents
  • Maintain accurate records for financing, warranties, and insurance products
  • Support day-to-day office administration: scheduling, correspondence, data entry, and filing
  • Answer phones and greet customers/vendors as needed
  • Assist with compliance documentation and audits as required
  • Be able to be a backup finance and do deals when needed
  • Present financing and insurance options to customers after the sale, including extended warranties, GAP insurance, and other F&I products
  • Maintain accurate records and reporting for all finance transactions
  • Ensure all finance and insurance paperwork is complete, accurate, and compliant with federal, state, and dealership regulations

Qualifications
  • 2+ years of experience in an administrative, office support, or finance/admin role (automotive experience a plus)
  • Strong organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to multitask and prioritize in a fast-paced environment
  • High school diploma required; some college coursework in business, finance, or accounting preferred
  • Good with technology
  • Excellent appearance, verbal/written communication, strong presentation skills
  • Outgoing personality with expertise at developing relationships (i.e., a "people person")
