Operations Assistant

How you'll spend your time as an Operations Assistant:

  • Provide administrative support, covering coordination, permitting, and project logistics.
  • Coordinate back-office workflows and ensure administrative processes and systems run accurately and efficiently.
  • Oversee service/install payroll via ADP, including time tracking, overtime approvals, tax filings, and commissions.
  • Handle basic HR tasks such as recruitment coordination, onboarding, training administration, performance tracking, and culture programs.
  • Oversee billing and invoice/PO payment posting, project/job setup accuracy, and general project and account governance using NetSuite and other systems.
  • Provide administrative and operational support for the field teams.
  • Coordinate workplace safety governance, OSHA Standards alignment, and incident reporting.
  • Assist with regulatory and licensing support, including GC/HVACR licensing and permits.
  • Oversee fleet acquisition, maintenance, and fuel management.
  • Manage internet, phone, security, internal asset tracking, and ensure supply chain continuity.

Skills & experience we'd like you to have as an Operations Assistant:

  • 3+ years of administrative support experience within a construction company.
  • Bachelor's degree in communication, business or related field preferred.
  • Demonstrated success in operational organization, vendor coordination, payroll governance, and accurate record-keeping.
