Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
  • Knowledge of university/academic policies and procedures.
  • Advanced working knowledge of Microsoft Office, spreadsheets, databases, and other desktop software.
  • Experience prioritizing workload and completing assignments with tight deadlines.
  • Experience with budget and PCRs, including using software such as SAP (GUI, Marketplace, Concur) or similar.
  • Experience working with university GATO website management, including CALICO.
  • Knowledge of Student information systems such as Ellucian Banner 9, Degree works, Navigate, SL&L or similar.
  • Ability to work as a team member and interact appropriately with others.
  • Must be a current Texas State Employee

  • Bachelor's degree or equivalent combination of education and experience level.
  • Previous university experience

Job Description
The Administrative Assistant III provides administrative and clerical support to program chairs, department chairs, deans, or directors within their specific departments.
Job Duties
  • Manage hiring and processing PCRs and stipend requests.
  • Monitor and process time management for the department's staff.
  • Monitor transactions within the operating budget and maintain precise ledgers.
  • Review and process purchase orders and invoices.
  • Coordinate travel arrangements, applications, and reimbursements for all staff.
  • Serve as support to the front office to greet, screen, and route customers
  • Assist with the department's general email.
  • Use independent judgment to effectively prioritize workload while working in a team-oriented, customer service-based environment.
  • Coordinate and oversee the supervisor's calendar and schedule.
  • Organize, prioritize, direct, and explain office work assignments to office staff and student workers.
  • Provide training for admin II and student workers.
  • Manage the office facilities and supplies.
  • Assist in the preparation of various activities and events.
  • Support Admin Asst II with student registration.
  • Ensure compliance with state educator preparation requirements within the workflow of the department's staff.
  • Maintain compliant log and organize student appeals for review.
  • Collaborate to provide insight on process improvements and successful outcomes.
  • Responsible for updating content and managing GATO for the department website.
