Job description

The Asset Coordinator is responsible for coordinating equipment and asset tracking, scheduling, documentation, and records management in support of fleet and field operations. This role helps ensure that equipment is properly tracked, available, maintained, and documented to meet project and operational needs. The Asset Coordinator works closely with the Asset Manager, logistics personnel, mechanics, and field teams to support equipment dispatch, maintenance scheduling, rental coordination, and asset record accuracy.

Location & Travel Details: 

This is an onsite operations support position based in Dallas, TX. Occasional travel to company yards, project sites, rental vendors, and other operating locations may be required to support equipment moves, inventories, audits, and coordination with field and maintenance teams. This role works closely with the Asset Manager, logistics personnel, mechanics, and field teams and may require flexibility based on changing equipment and operational needs.

  • Track equipment location, status, availability, and utilization across company operations.
  • Coordinate equipment moves, rentals, and dispatch activities in conjunction with the Asset Manager and Logistics Manager.
  • Maintain accurate asset records, equipment files, and supporting documentation.
  • Process equipment requests from field teams and help prioritize allocation based on operational needs.
  • Support check-in and check-out procedures for company equipment and maintain corresponding logs.
  • Coordinate preventive maintenance scheduling with mechanics and maintenance personnel.
  • Assist with maintenance work-order intake and track service needs for equipment assets.
  • Monitor rental equipment activity, maintain rental records, and support rental reconciliation.
  • Prepare and distribute asset tracking and location updates as needed.
  • Support asset audits, equipment inventories, and documentation reviews.
  • Escalate equipment shortages, tracking discrepancies, or availability issues to the Asset Manager.
  • Help ensure that fleet and asset documentation is organized, current, and accessible for operational use.

Work Experience and Education

  • High school diploma or equivalent required; associate's degree or coursework in business, logistics, fleet management, or a related field preferred.

Knowledge, Skills and Abilities

  • Experience maintaining records, logs, and documentation with a high level of accuracy.
  • Strong organizational skills and ability to manage multiple requests and priorities.
  • Ability to coordinate effectively with field personnel, mechanics, logistics staff, and management.
