Job Description

** ROLE SYNOPSIS:**

The Asset Coordinator is a project management and coordination role within the Assets function responsible for coordinating the complete lifecycle of the company’s subsea intervention assets. This position manages the execution and coordination of asset projects from initial design and development through fabrication, assembly, testing, commissioning, mobilization, deployment, maintenance, storage, refurbishment, redeployment, and ultimate decommissioning.

The Asset Coordinator works closely with the Asset Manager, Engineering, Operations, Technology, Supply Chain, Quality, HSE, Commercial, and external suppliers to ensure assets are delivered, maintained, configured, and deployed in accordance with project requirements, schedules, budgets, quality standards, and customer expectations. The role serves as the central coordinator for asset-related projects and ensures that scope, schedule, resources, documentation, procurement, testing, logistics, and stakeholder requirements are effectively managed.

The Asset Coordinator maintains visibility of each asset throughout its lifecycle and coordinates activities necessary to keep the fleet ready for current and future campaigns. This includes developing project schedules, coordinating engineering and fabrication activities, managing procurement and vendor interfaces, coordinating inspections and testing, planning mobilization and demobilization, coordinating maintenance and refurbishment, managing storage requirements, and developing plans for asset retirement and decommissioning.

The role requires strong organizational, project management, communication, and problem-solving skills, with the ability to coordinate multiple concurrent asset projects and competing operational priorities. The Asset Coordinator will work across domestic and international locations and may require travel to company facilities, fabrication yards, suppliers, customer locations, and offshore or operational sites.

** ESSENTIAL DUTIES & RESPONSIBILITIES:**

• Asset Lifecycle Project Management: Coordinate the complete lifecycle of assigned assets from design and creation through fabrication, commissioning, deployment, maintenance, storage, refurbishment, redeployment, and decommissioning. Establish project scope, schedules, milestones, deliverables, and responsibilities.
• ** Asset Design & Development:** Coordinate with Engineering and Technology during the design and development of new assets and modifications. Track engineering deliverables, design reviews, procurement requirements, fabrication, assembly, testing, and commissioning activities.
• ** Asset Creation & Fabrication:** Coordinate fabrication, assembly, integration, inspection, testing, and acceptance activities with internal teams and external suppliers. Monitor progress against approved schedules, budgets, specifications, and quality requirements.
• ** Project Planning & Scheduling:** Develop and maintain detailed asset project schedules and coordinate activities across Engineering, Supply Chain, Operations, Quality, HSE, vendors, and other stakeholders. Identify schedule conflicts, dependencies, and risks and drive timely resolution.
• ** Procurement & Vendor Coordination:** Coordinate procurement of equipment, components, materials, services, and third-party support required for asset projects. Monitor supplier performance, delivery schedules, documentation, and outstanding requirements.
• ** Commissioning & Readiness:** Coordinate equipment assembly, testing, inspection, certification, commissioning, and final acceptance. Ensure all technical, operational, quality, and documentation requirements are completed before an asset is released for operational use.
• ** Mobilization:** Project manage asset mobilization activities, including equipment preparation, configuration, inspection, documentation, logistics, transportation, loadout, and delivery to the operational location. Coordinate with Operations and Project Management to meet campaign schedules.
• ** Demobilization:** Coordinate the return of assets following completion of campaigns. Manage equipment receipt, inspection, inventory reconciliation, condition assessment, cleaning, repair, documentation, and disposition.
• ** Maintenance & Refurbishment:** Coordinate planned and corrective maintenance, inspections, repairs, refurbishment, upgrades, and modifications. Develop work scopes, schedules, resource requirements, and vendor coordination necessary to return assets to service.
• ** Storage & Preservation:** Coordinate appropriate storage, preservation, environmental controls, inspections, and periodic maintenance for assets not currently deployed. Ensure equipment remains protected and available for future campaigns.
• ** Configuration Management:** Coordinate changes to asset configuration, components, assemblies, and systems throughout the asset lifecycle. Ensure modifications, replacements, upgrades, and engineering changes are properly documented and incorporated into asset records.
• ** Asset Documentation:** Work with the Asset Administrator and Document Control to ensure project records, drawings, certifications, inspection reports, test results, maintenance records, vendor documentation, and other required records are complete and properly maintained.
• ** Asset Cost & Budget Tracking:** Monitor project expenditures against approved asset budgets. Track purchase orders, vendor commitments, repair costs, fabrication costs, logistics costs, and other lifecycle expenditures and report variances to the Asset Manager.
• ** Risk & Issue Management:** Identify asset project risks, constraints, and execution issues. Develop mitigation plans and coordinate corrective actions to prevent delays, cost overruns, quality issues, or impacts to campaign readiness.
• ** Decommissioning & Retirement:** Coordinate the end-of-life process for assets, including condition assessment, disposition planning, recovery of reusable components, environmental and regulatory requirements, disposal, documentation, and final asset record closure.
• ** Cross-Functional Coordination:** Serve as the primary project coordinator for assigned asset lifecycle activities and maintain effective communication between Engineering, Operations, Technology, Supply Chain, Quality, HSE, Finance, Commercial, vendors, and customers.
• ** Continuous Improvement:** Identify opportunities to improve asset lifecycle processes, project execution, standardization, cost management, equipment reliability, and fleet readiness.

QHSE RESPONSIBILITIES:

• Demonstrate a personal commitment to Safety, Quality, Health, and the Environment.
• Apply Caltex Oil Tools, and where appropriate Client Company’s, Safety, Quality, Health, & Environment Policies and Safety Management Systems.
• Ensure asset lifecycle activities are planned and executed in accordance with applicable QHSE requirements.
• Coordinate required inspections, testing, certifications, and quality documentation before equipment is released for use.
• Identify and communicate project risks that may affect safety, quality, environmental performance, or regulatory compliance.
• Promote a culture of continuous improvement and lead by example to ensure company goals are achieved and exceeded.

REQUIRED QUALIFICATIONS:

• Bachelor’s degree in Engineering, Engineering Technology, Business, Project Management, Supply Chain, or a related discipline; equivalent technical experience may be considered.
• Basic experience in project coordination, project management, equipment management, asset management, manufacturing, engineering, or technical operations.
• Demonstrated experience coordinating complex equipment projects involving multiple internal departments and external suppliers.
• Experience managing project schedules, deliverables, vendors, procurement activities, and competing priorities.
• Experience with equipment fabrication, assembly, testing, commissioning, maintenance, or field deployment.
• Strong understanding of project management principles, including scope, schedule, cost, risk, quality, and stakeholder management.
• Proficiency with ERP, project management, asset management, or CMMS systems.
• Strong proficiency with Microsoft Excel, Word, Outlook, PowerPoint, and project scheduling tools.
• Strong organizational, communication, problem-solving, and follow-up skills.
• Ability to read and understand engineering drawings, equipment specifications, technical documentation, and project requirements.
• Ability to travel domestically and internationally and work safely in industrial and offshore-related environments.

PREFERRED QUALIFICATIONS:

• Direct experience in subsea, offshore, well intervention, oilfield services, or related industrial equipment.
• Experience coordinating subsea intervention equipment, pressure-control systems, ROV interfaces, intervention tooling, or related equipment.
• Project Management Professional (PMP) or equivalent project management certification.
• Engineering degree or technical management experience.
• Experience with asset lifecycle management and equipment fleet operations.
• Experience with fabrication, FAT/SAT, commissioning, mobilization, and offshore deployment.
• Experience with maintenance management, refurbishment, and equipment preservation.
• Experience with ISO 9001, ISO 14001, ISO 45001, API Q1/Q2, or similar management systems.

PHYSICAL DEMANDS:

• Able to travel both domestically and internationally to meet with customers and project resources
• Natural or corrected vision to read printed materials and computer screen
• Natural or corrected hearing and speech to communicate in person and over the telephone
• Capable of properly using standard office equipment, including telephone, and a computer with keyboard
• Ability to wear required Personal Protective Equipment (PPE). Includes hard hat, steel-toed shoes, safety glasses, ear plugs, etc.

WORK ENVIRONMENT:

• Office environment, with occasional travel to supplier, customer locations, or dockside marine terminals
• Dockside work is performed outdoors (heat, humidity, and noise can be expected)
• Work in vicinity of high-pressure and voltage circuits (PPE and engineering controls utilized)
